Schedules appointments, gives information to callers and otherwise relieves the Assessor and other officials of clerical work and minor administrative and business detail by performing the following duties.

This class works under administrative supervision, developing and implementing programs within organizational policies and reports major activities to executive level administrators through conferences and reports.

Duties and Responsibilities:

The functions listed below are those that represent the majority of the time spent working in this position. Management may assign additional functions related to the type of work of the position as necessary.

Answers and screens telephone call, assists callers and routes calls to appropriate personnel as necessary, and arranges conference calls
Directs window clerk’s daily responsibilities
Composes and types routine correspondences and documents the correspondence that pertains to each respective department
Takes and transcribes dictation; prepares correspondence and other letters; schedules appointments; notarizes documents as needed
Must have good written communication skills
Maintains supply and equipment inventory for the office
Requisitions supplies and materials as needed
Ensures reconciliation to budget
Responsible for budget amounts, transfers, and expenditures
Supports and assists the Assessor
Assists in preparing budget information annually
Assists in inventory of fixed assets
Updates mapping information
Approves all bills and expenditures including recordkeeping of blanket purchase orders and contracted services
Assigns, plan, and reviews assignments of the Clerk Typist
Interacts and communicates with all county government offices and outside agencies
Operates typewriter, adding machine, computer, printer, copier, and fax
Must learn the County tax map system
Must become familiar with property tax laws including valuation, agriculture use, classification, assessment, transfers, rollback, ATI, MLD, etc.
Perform other duties and related work as instructed and assigned.

Minimum Education and Experience Requirements:

High school diploma or general education degree (GED) and one to two years related experience and/or training. Diploma/Degree in Administrative Support recommended.

Reasoning Ability, Mathematical and Language Skills:

Ability to define problems collects data, establish facts, and draw valid conclusions. The ability to interpret an extensive variety of technical instructions in mathematical or diagram and to deal with several abstract and concrete variables.

Ability to calculate figures and amounts such as discounts, interest, commissions, proportions, percentages, area, circumference, and volume. The ability to apply the concepts of basic algebra and geometry.

Ability to read, analyzes, and interprets general business periodicals, professional journals, technical procedures, or governmental regulations. Ability to write reports, business correspondence, and procedure manuals. Ability to effectively present information and respond to questions from groups of managers, clients, customers, and the public
