Administrative Assistant – Pac 1 Family Office

Location: Vancouver, WA

Hours: Monday through Friday, 8:00 AM – 5:00 PM

We are seeking an organized, proactive, and computer-savvy Administrative Assistant to join our fast-paced team. This role offers an excellent opportunity for a self-motivated individual to manage projects and support our team with essential administrative functions.

Key Responsibilities:

Provide administrative support to team members, ensuring smooth daily operations
Schedule, organize, and coordinate meetings, events, and appointments
Oversee multiple projects, ensuring they stay on track and meet deadlines
Manage office-related projects, taking the lead on planning and execution
Prepare and proofread reports, memos, letters, and other important documents
Maintain accurate filing systems and retrieve records as needed
Handle confidential business matters with discretion and professionalism
Run errands, including picking up mail and supplies
Receive, manage, and track incoming deliveries
Keep the office organized and ensure a clean, efficient work environment
Assist with opening and closing office procedures
Support executives with various tasks as required

Requirements:

Effective communication skills, both verbal and written
Strong interpersonal skills with a customer-service-oriented attitude
Highly organized, capable of managing multiple tasks simultaneously
Ability to work independently, take initiative, and solve problems
Proficiency in Microsoft Office Suite (Outlook, Excel, Word) and
Proficiency in Google Suite (Docs, Sheets)
Quick learner and open to learning AI and other types of software and tools
Comfortable using office equipment (copiers, printers, etc.)
Ability to thrive in a fast-paced environment
Reliable transportation, valid driver’s license, and proof of insurance

Preferred Education and Experience:

3+ years of experience in an administrative or customer service role
Bachelor’s Degree or higher
Project Management experience

In-office role, 40 hours per week, Monday through Friday. No remote option available.
