Job Summary:

We are seeking a highly organized and proactive Executive Assistant to support our leadership team. This role requires a detail-oriented professional with experience in the wealth management industry, compliance, and client relations. The ideal candidate will provide administrative support, ensure adherence to regulatory requirements, and assist in delivering a high-touch client experience. They are a highly adaptable individual with strong critical thinking skills who can readily grasp new concepts and confidently make autonomous decisions.

Key Responsibilities:

· Strong organizational skills and maintain complex schedules supporting multiple advisors

· Strong communicator with exceptional abilities in both written and spoken communication, as well as demonstrated proficiency in professional phone etiquette

· Attention to detail and accuracy with the ability to anticipate needs, troubleshoot issues, and provide solutions.

· Exceptional discretion, organization, and ability to multitask in a fast-paced environment.

Executive Support:

· Manage calendars, schedule meetings, and coordinate travel arrangements.

· Prepare reports, presentations, and correspondence for seminars, events and client meetings.

· Handle confidential information with discretion and professionalism.

· Act as a liaison between the executive team, clients, and internal departments.

· Organize and maintain digital and physical records.

Compliance Support:

· Assist in monitoring and maintaining compliance policies and procedures in line with regulatory requirements (SEC, FINRA, etc.).

· Support document preparation for audits, regulatory filings, and client disclosures.

· Ensure client records and transactions comply with industry regulations.

· Coordinate compliance training sessions and track regulatory updates.

Client Relations & Service:

· Serve as a primary point of contact for all clients, addressing inquiries with professionalism.

· Facilitate client onboarding, including account setup, documentation, and compliance verification.

· Assist in planning and coordinating client meetings, events, and communications.

· Proactively manage client requests and ensure timely follow-up on all matters.

Qualifications:

· Associate’s degree preferred or a Minimum of 2-3 years as an Executive Assistant, preferably in wealth management, finance, or a related industry.

· Industry Knowledge and familiarity with financial regulations, compliance protocols, and client service best practices.

· Proficiency in Microsoft Office, Google Suite, CRM systems (HubSpot, Monday), and compliance management tools.

· Knowledge of wealth management software and platforms preferred.

· Project Management skills a plus
