As a Team Administrator, you will play a key role in supporting the Business Management Support Team (BMST), which provides executive and office support to the Leadership Team and manages facilities across our Cambridge and Amsterdam offices.
All BMST colleagues are expected to be able to provide support for both offices due to staff absences or if an event in either office requires it. This may include but is not limited to:
Answering the office phone
Answering the door
Greeting visitors
Supporting colleagues with administrative queries
Reporting to the Manager, Business Support (MBS) ensuring GÉANT’s office(s) remains a safe, efficient, and welcoming space.
What You’ll Do
Executive Support
Diary Management: Ensure smooth coordination of executive activities by handling calendars, appointments, travel arrangements and schedules.
Project Delivery: as designated by the CEO, nominated members of the Executive Team or the Manager, Business Support (MBS)
Team Coordination & Support: Provide support to the nominated Executive’s team as required, e.g. Team All hands events, from concept to delivery. Assisting with complex travel plans as required
Administrative Support: to other Teams who may require additional assistance, for example, if a member of staff is off sick or on annual leave.
Process Optimisation: Ensure best practice is always followed, make recommendations for improvement, ensure compliance and efficiency, identifying bottlenecks and suggest improvement
Office Support
Provide office management support to the AMS office in conjunction with the Office and Facilities Manager, and also in their absence, including but not limited to:
Arranging couriers
Ordering office supplies
Greeting visitors
Acting as a BHv trained member of staff
Assisting with events in the Amsterdam office

Key Skills and Qualities
Educated to HBO level
Fluent in Dutch and English; both written and spoken
Excellent organisational and time management skills
Good IT skills, including knowledge MS Office packages
Ability to prioritise tasks and work under pressure
Ability to liaise well with others and delegate tasks
Strong oral and written communication skills
Ability to work on your own initiative
Attention to detail
Flexibility and adaptability to changing workloads
Problem-solving skills and project management ability
Working Arrangements
Given the responsibilities of this role, we expect the individual to be in the office at least four days a week.
