Job Overview
CNWL is recruiting a Band 4 Team Administrator to join the Kensington and Chelsea Home Treatment Team. The team is split into two hubs (St Charles Hospital and Nightingale Place).
This is a friendly, dynamic team with high retention. The team offers specialist support to patients experiencing an acute crisis, 365 days a year. It is a multi-disciplinary team. It is a busy and essential service working with a diverse population in central London. We are looking for someone who is enthusiastic and skilled to join us.
The post holder will be responsible for providing a full range of administrative support to the team. This will range from managing incoming calls to entering clinical activity data into the Trist database. The post-holder will be expected to work without our immediate supervision to enable the team to carry out a range of clinical activities as quickly and effectively as is required.
The post holder will be responsible for providing a full range of administrative support to the team. They will support the Team Manager to ensure the service runs effectively and efficiently, and that referrers, partners, service users, and their families/carers receive a responsive and friendly service.
Main duties of the job
- To work closely with Managers providing administrative support in relation to their roles. This may include typing, minute-taking, arranging meetings, undertaking small projects etc.
- To prepare documents (SAR) by copy via SystmOne on request through Health Records for approval as directed, ensuring that all policies and procedures are adhered to.
- To prepare documents by copy or audio typing using Microsoft office software (letters, memos, reports etc) for approval as directed, ensuring that all policies and procedures are adhered to.
- To work closely with the Team Managers and doctors to ensure their administrative needs are met.
- To work closely with the clinical team in the sector to ensure their administrative needs are being met including meeting team Key Performance Indictors (KPIs)
- To ensure effective administrative systems are in place to support the clinical work of the team in the sector. This includes working with the Managers to ensure that, as far as possible, a standardised approach is taken to the implementation and use of administrative processes, templates and forms.
- To ensure that telephone calls, correspondence and direct contacts with patients and other internal or external agencies are dealt with in an appropriate and professional manner, encouraging staff to use judgement and discretion where necessary and to refer complex matters to relevant senior members of staff.
- To work provide day-to-day management of the office and the development, implementation and maintenance of office practices and procedures to ensure that all non-clinical requirements of the teams are met.
- To carry out a range of administrative tasks including ordering on SBS.
- To work to ensure that adequate stock levels of stationery and other clinical equipment are maintained at all times.
- To participate in the induction programme for new staff to the sector. This will involve advising staff how administrative support services operate within the team.
- To keep staff list updated.
- To keep team shared drive updated and ensure that all staff have access.
- To support the Team Manager to check supervision and appraisal records are recorded on LDZ in a timely fashion.

Detailed Job Description And Main Responsibilities
- To ensure that the quality of data entered onto system one is in line with procedures
- To provide data and IT support to clinicians and administrative staff.
- To undertake data-related pieces of work for the Service Line, as requested by senior members of staff or the Service Line as agreed with the Sector Manager.
- To provide reports and charts using Microsoft Excel.
- To have the ability to produce reports, analyse data and produce spreadsheets.
- To produce data reports (basic structure, SAR requests, populate figures, basic text/commentaries, basic analysis).
- To work with the Manager in formulating and producing action plans in relation to data management. This will include monitoring progress against action points.
- To have an in-depth knowledge of data quality and management issues across the sector in order that information and advice is able to be imparted to clinicians and senior managers in the Service Line.
- To become conversant with KPIs
- To become conversant with data systems and processes i.e. SystmOne, Tableau etc.

Essential criteria
- Good general education
- ‘O’ Level or GCSE standard for English and Maths or equivalent
Experience And Others

- Previous office and administrative experience
- Experience of using NHS clincial systems
- Excellent communication skills
- Ability to meet KPI targets and has knowledge of KPIs
Desirable criteria
- Previous admin experience working in crisis / HTT or equivalent
- Mental Health awareness
- Experience of working within an NHS department
