We are looking for a proactive and approachable Team Assistant to join our London office on a 6-month fixed-term contract. This is a fantastic opportunity to join a collaborative, international private equity environment.
In this varied role, you will act as the first point of contact for our London office, ensuring a professional and welcoming front-of-house experience, supporting team members and office operations. Responsibilities include:
Welcoming guests, managing meeting rooms and overseeing front-of-house duties
Organising meetings and video conference calls (Zoom & Teams)
Supporting calendar management across multiple time zones, ensuring meetings are well-coordinated and conflicts are resolved
Assisting with global travel bookings and itinerary adjustments (flights, accommodation, visas, transfers)
Supporting the Office Manager with day-to-day office operations
Processing expenses and helping maintain contact databases
Supporting the coordination of internal and external events
Working closely with the EA team, including providing cover during absences
Building strong relationships with clients and suppliers
Handling confidential information with the utmost discretion
Your Profile
Previous experience in a receptionist, team assistant and/or administrative role, ideally in financial services or a professional environment
Strong organisational skills with excellent attention to detail
A calm, professional and friendly manner, with confidence communicating at all levels
Ability to meet deadlines and manage multiple priorities in a fast-paced setting
A collaborative, positive team player with strong problem-solving skills
Proficiency in Microsoft Office (Word, Excel, PowerPoint, Outlook)
