Job Title: Commercial Administrator

Location: Pasig, Philippines

Work Schedule: Monday to Friday, 6:00 AM – 3:00 PM (Hybrid – 3x onsite)

As a Commercial Administrator, you will be responsible for supporting the Commercial team through the preparation of high-quality sales proposals, tender submissions, pricing support, and administrative coordination. You will work closely with internal stakeholders to ensure documents, pricing tools, and commercial processes are accurate, efficient, and professionally presented.

This role requires a highly organized, detail-oriented professional with strong administrative experience supporting sales or commercial teams. You will play an important role in proposal preparation, stakeholder coordination, pricing tool management, and continuous process improvement, while contributing to a team that values quality, collaboration, and meaningful social impact.

Key Responsibilities

Sales Proposals & Tender Support

  • Prepare sales proposals and tender submissions in a professional, accurate, timely, and efficient manner
  • Ensure all commercial documents are well-presented, complete, and aligned with business standards
  • Support the coordination and submission of tender responses and related documentation
  • Maintain a high level of attention to detail across all proposal and submission work

Pricing & Commercial Administration

  • Use advanced Excel skills to work with internal pricing tools and applications to support solution pricing
  • Collaborate with the developer of the in-house pricing tool to ensure it is operating efficiently and optimally
  • Assist in maintaining and improving pricing-related documentation and workflows
  • Provide administrative support to the Commercial team in daily operations

Stakeholder Coordination & Quality Management

  • Work with internal stakeholders across the organization to compile information required for proposals and tender submissions
  • Support the maintenance and administration of quality management system (QMS) documentation
  • Assist in ensuring commercial processes are followed accurately and consistently
  • Build strong working relationships with key internal stakeholders to support team objectives

Marketing & Continuous Improvement

  • Provide ad hoc administrative support to the Marketing team as required
  • Take pride in delivering high-quality work and contribute to continuous improvement initiatives
  • Support the team in maintaining high operational and documentation standards
  • Remain open to mentorship, learning, and career development opportunities within the role

Qualifications & Skills

  • At least 2 years of experience in an administrative role supporting sales or commercial teams
  • Experience preparing sales proposals and tender submissions
  • Advanced to expert-level Microsoft Excel skills
  • Intermediate proficiency in Microsoft Word and PowerPoint
  • Strong organizational and time management skills
  • Very high attention to detail and accuracy
  • Excellent written and verbal English communication skills
  • Ability to manage multiple tasks and coordinate with various stakeholders
  • Ability to follow instructions and procedures efficiently and effectively
  • Self-motivated with a strong desire to learn and grow professionally
  • Experience with quality management systems (ISO9001) is highly preferred
  • Experience in the healthcare industry is a plus
