Position: 1488 TIA-Evaluation Technician
Three (3) or more Permanent
– Exempt, Full Time, Full Year 260 days position. Permanent-Exempt. Exempt employees are considered “at will” and serve at the discretion of the appointing officer.

THIS POSITION IS NOT A REMOTE WORK POSITION AND REQUIRES AN OFFICE PRESENCE.

Under general supervision, the 1488 Technical Instructional Assistant – Evaluation Technician performs complex and highly technical admissions and records evaluation functions in the Office of Admissions & Records (A&R). This position manages and evaluates admission applications; coordinates and reviews student petitions for graduation, certificates, academic renewal, course equivalency, and program prerequisites (including nursing); and evaluates both domestic and foreign transcripts in compliance with Title 5 regulations, the California Education Code, and FERPA.

The Evaluation Technician reviews, corrects, and updates student academic records in Banner; determines applicable catalog years; prepares IGETC certifications; and utilizes systems such as Degree Works to support degree audits and educational planning. Responsibilities also include collecting, reviewing, scanning, and imaging petitions and supporting documentation; communicating with students to resolve application or documentation issues; and collaborating with IT to ensure a trouble-free online application process.

The position provides front counter, virtual counter, and telephone services; works closely with counselors, administrators, department chairs, and program directors; prepares reports and data using MS Word and Excel; and assists students with online Admissions & Records processes. This role requires excellent communication skills and extensive public interaction, and may include assignments at other City College Centers, as well as evening and weekend work as needed.

Job Duties

Essential Functions:

1. Analyzes data (e.g. gathering, compiling data for reports, utilizing word processing and statistical techniques, etc.) for the purpose of ensuring adequate and accurate evaluation of student processes.

2. Assists with a variety of Admissions and Records processes (not in A&R) for the purpose of providing necessary communication and accurate documentation in support of departmental functions.

3. Certifies records (not in A&R) (e.g. concurrently enrolled high school applicants, etc.) for the purpose of determining qualifications applicants for admission.

4. Collaborates with a variety of personnel (not in A&R) (e.g. counseling, matriculation, Admissions and Records, etc.) for the purpose of resolving matters concerning enrollment and prerequisites.

5. Conducts presentations and workshops for the purpose of providing necessary training and Outreach information.

6. Coordinates processes (e.g. IT personnel, Printer Server, Windows Operating System, Computer Lab, etc.) for the purpose of maintaining optimal operation.

7. Implements services (e.g. matriculation, enrollment, counseling, scholarships, book loans, etc.) for the purpose of ensuring support and accuracy for incoming students.

8. Interprets department and program requirements (e.g. application evaluation from concurrently enrolled high school students, etc.) for the purpose of ensuring compliance with college matriculation regulations.

9. Maintains a variety of student files and records (e.g. probation holds, name changes, academic records, social security changes, book holds, etc.) for the purpose of ensuring the availability of documentation and compliance with established student privacy policies and regulatory guidelines.

10. Manages office (e.g. department, clerical and technical support activities including inventory control, invoices, budget procedures, statements, building security, maintenance and facilities management, supervises student workers and/or volunteers, payroll, etc.) for the purpose of implementing programs and processes for efficient daily operation.

11. Participates in meetings, in-service training, workshops, etc. for the purpose of conveying and gathering information required to perform job functions.

12. Provides services (e.g. requisitions, budget, event planning, office management, data analysis, ordering supplies, etc.) for the purpose of implementing necessary processes for effective Outreach.

13. Responds to inquiries from a variety of sources (e.g. faculty, staff, administrators, federal and state agencies, prospective and current students, etc.) for the purpose of facilitating communication and providing guidance.

14. Reviews student academic records (e.g. prerequisite challenges and delayed determinations, course repeats, petitions for late add/drop, etc.) for the purpose of ensuring accurate evaluation of admissions and matriculation records processes, in compliance with policies and regulatory guidelines.
