Job Description:

This position performs a wide variety of administrative and clerical support to the Executive Director of Human Resources. This work includes: providing general office management support, balancing the HR department budget and making payments to vendors, and preparing correspondence documents and presentations for the executive director. This is a confidential position that helps process highly confidential and sensitive documents for staff and student matters. This position reports directly to the Executive Director of Human Resources.

Qualifications:

Education: High School degree required. Bachelor’s degree is highly preferred.

Experience:

Minimum 3 years of job-related work experience.
Experience in the public education sector is preferred.
Work experience must include extensive and excellent computer software skills (e.g., MS Word, Excel, and PowerPoint; use of online time-and-attendance software, online invoice and payment software, Google calendar and Google documents, use of Zoom video, etc.

Essential Functions:

Helps manage the HR budget, including travel reimbursement, ordering of materials and supplies, and other items as requested.
Coordinates meetings and activities in support of assigned HR tasks and activities.
Receives calls for assistance and takes appropriate actions, and/or directs to appropriate division staff for resolution.
Maintains a wide variety of files, contracts, and records (confidential/non-confidential) to provide documentation in accordance with administrative and legal requirements.
Develops, disseminates, and maintains standards for department memos, PowerPoints, agendas, project plans, newsletters, flyers, etc.
Provides guidance and support to the HR lobby and reception area.
Manages requests for temporary staff services and maintains coordination with staffing agencies.
Prepares a wide variety of written materials (e.g., Board memos, PowerPoint slides, reports, letters, meeting minutes, etc.) to support the executive director.
Researches a wide variety of topics (e.g., current practices, policies, education codes, etc.) to provide information for addressing various administrative requirements.
Responds to a wide variety of inquiries from internal and external parties (e.g., staff, parents, students, public agencies, etc.) to provide information, facilitate communication among parties, and/or provide direction.
Assists other personnel as may be required to ensure an efficient and effective work environment.
Performs other duties as assigned by the Executive Director of Human Resources

Funding:

This is a grant-funded position.

On-site Work Requirement:

Onsite work attendance is required. Applicant must be able to work in the physical office (1340 Braddock Place) during a regular five-day workweek.
Mask wear may be required. Compliance is required with public health requirements as directed.

Clearances:

Criminal Justice Fingerprint/Background Clearance.
Tuberculosis Skin Test.

Public Health Compliance

Must follow safety and health protocols.
