Treasurer / Collector’s Office – Principal Clerk
The Town of Agawam is accepting applications for 1 (one) Principal Clerk in the Treasurer-Collector’s Office. The salary range for this position is $43,046.38-$52,862.94. Principal Clerk – Treasurer-Collector’s Office
Position Summary:
Duties include dealing with the public and town employees both at the counter and via telephone, accepting cash payments at the counter and through the mail, and responding to taxpayer inquiries. The principal clerk will be responsible for making daily deposits, preparing and balancing payroll, preparing payroll reports, and processing police and fire outside duty detail. Responsibilities also include preparing written correspondence to vendors and responding to public records requests.
Essential Job Functions:
Accepts cash receipts at the counter;
Assists in preparation of daily deposits;
Opens and processes mail;
Prepares and processes biweekly payroll;
Reviews and reconciles payroll reports;
Balances various payroll reports for taxes and deductions;
Assists in preparation of payroll tax returns and reports;
Works closely with the personnel department for information requests;
Researches historical payroll records;
Processes police and fire outside duty payroll;
Prepares vendor invoices for outside duty payroll;
Reconciles vendor receivable accounts;
Follows up on unpaid vendor receivables;
Prepares quarterly cash reports;
Posts cash receipts and reconciles cash accounts;
Responds to information requests from departments, taxpayers, and attorneys;
Prepares written correspondence to taxpayers and attorneys;
Prepares audit schedules and official statements;
Processes vendor warrants payable;
Performs miscellaneous duties as required;
Assists with Mailroom duties as needed.
Required Knowledge Skills & Abilities:
Knowledge of payroll and accounting procedures, experience with specialized software, proficiency in Windows and Microsoft Office, and significant public interaction experience are required. Confidentiality is essential due to access to private payroll and taxpayer information. Ability to work under pressure and maintain professionalism is necessary.
Desired Experience and Training:
Experience with payroll functions, computer proficiency, and a high school diploma are preferred.
