Salary Range: $2,953.25 – $4,365.66 per month

The Unit Records Coordinator performs moderately complex records administration work to maintain the integrity of individuals’ records. Responsibilities include coordinating the implementation and maintenance of the patient record at the State Hospital, processing and tracking records for Joint Commission and CMS standards, conducting audits, tracking deficiencies, and providing training on the record-keeping system.
The coordinator works under general supervision with moderate latitude for initiative and independent judgment.
Essential Job Functions
- Attend work regularly on the assigned shift schedule and may be required to work rotating schedules, extended shifts, or overtime as needed.
- Provide guidance and oversee the implementation and maintenance of the State Hospital Recordkeeping System.
- Update policies and procedures to ensure compliance with State Hospital, Joint Commission, and CMS requirements.
- Process records requests; coordinate copying and preparation of records to meet request requirements and maintain records according to guidelines; establish and maintain tracking systems.
- Conduct monthly audits of at least five records per month to verify records are in order and retention schedules are followed; develop and track plans of correction and prepare status reports for executive leadership.
- Provide records support services to staff responsible for patient record creation and assist in training unit staff on the Recordkeeping system.
- Perform special assignments as requested by the supervisor to further State Hospital goals.
- Participate in disaster response, recovery, or continuity of operations (COOP) activation as required.
Knowledge, Skills, and Abilities
- Knowledge of office practices and administrative procedures.
- Proficiency with personal computers and common software applications (Word, Excel, PowerPoint, Access, Outlook).
- Ability to maintain filing systems and safeguard sensitive and confidential information.
- Ability to work independently and exercise judgment in making administrative decisions.
- Ability to develop, implement, and evaluate administrative procedures; interpret complex rules, regulations, policies, and procedures.
- Ability to understand and follow verbal and written instructions.
- Strong written and verbal communication skills.
- Ability to establish and maintain effective working relationships with supervisors and coworkers.
Initial Screening Criteria
At least two (2) years’ experience in a professional support role.
Employment Pre‑Requisites
Applicants must pass a fingerprint criminal background check, pre‑employment drug screen, and registry checks (CANRS, Nurse Aid, Medication Aide, Employee Misconduct, LEIE). Males aged 18‑25 must be registered with the Selective Service. All applicants must be at least 18 years of age; specific facility applicants may require 21 years of age. Flexibility in work hours may be required, and overtime or extended hours may apply.
Compliance with HHSC immunization policy and state hospital procedures related to immunizations is required; employees may be required to be vaccinated according to their level of contact with individuals.
