Description for Candidates:
Provide administrative support to a work group, unit or program. Coordinate work and assignments to support efficient operations.
How you will contribute:
Administrative Duties: Assist with special projects. May assist with opening and distributing mail. May serve as receptionist as needed and perform other administrative duties as assigned.
Administrative Support: Provide administrative support to a manager, work group, section, district or division. Assist with projects as assigned. Handle and prepare routine correspondence, reports and mail using various computer programs and distribute in accordance with Department practices. Respond to internal and external customers’ requests for information. May be required to perform additional administrative responsibilities as needed.
Correspondence and Reports: Prepare routine correspondence and reports within required timeframes using various computer programs. Draft correspondence for manager’s signature.
Customer Service: Demonstrate a high level of customer service to internal and external customers. Identify customer concerns and provide information to appropriate supervisor.
Documentation: Properly complete required documentation in accordance with department practices, policies and timeframes.
First Point Of Contact For Business Unit: Respond to inquiries and concerns by outside contacts, employees, and other VDOT staff by phone, email, or paper correspondence. Greet and direct visitors in accordance with business needs. Direct calls to appropriate staff. Maintain contact information for work unit, including mobile numbers and email addresses, as needed.
Programmatic Duties: Handle programmatic responsibilities specific to the unit. Maintain project and correspondence files. Develop and implement efficiencies in work methods. Locate information and distribute material within specified guidelines.
Scheduling: Schedule meetings, teleconferences, and coordinate calendars to ensure adequate facilities are obtained to meet business needs.

Additional Considerations:
High school diploma or GED with additional coursework in business or office administration.
