Job Title: HR Administrative Assistant
Reports To: Human Resources Manager
Location: Las Vegas, NV
Employee Type: Non-Exempt, Full-Time

Primary Function: Administrative support for the Human Resources Foster Corporation.
Essential Duties and Responsibilities:
Payroll
Train on the process of payroll to back up Payroll Coordinator
Assist with timecard questions from supervisors.
Performance Reviews
Assist in the completion of the performance review process – 30/60/90-day reviews and quarterly reviews through the HRIS system.
Benefits Plan Administration
Provide organizational support including Medical, Retirement Plans, Time off Accruals, Workers Comp/STD/FMLA
Assist with requests for Eyeglasses, Safety Shoes, and gym membership reimbursements.
Reconcile Medical Bills for accounting
Personnel Records/Employee Files
Set up and maintain employee files
New Employee Orientation/File Setup
Assist with the return of offer letters.
Gather required information, review benefits, and facilitate new employee orientation
Distributes organizational announcements.
Maintain HR bulletin board notices including updates to legally required employee notifications.
EHS Support
Provide administrative coordination for EHS training and ensure new employees receive the support needed to complete online training and CEBOS.
Attend Safety meetings and participate in EHS Surveys and self-assessments.
Assist teams with Investigations of Workers’ Compensation incidents and near misses
Wellness and Workplace Engagement Activities:
Organize and Support a Sunshine Group
Facilitate Wellness Program
Attend Ideas Program Meetings
Promote Service Excellence Participation
Act as a general liaison to the HR and Safety manager
Sit in on discipline/ workplace investigation meetings and type notes as needed.
Other duties as assigned by supervisor.
Site-Wide Administrative Support
Greet visitors to ensure proper signing in and out of the building
Maintains a clean and orderly supply cabinet and reorders office supplies as necessary.
Processes invoices by matching up the appropriate purchase orders for approval and scans (materials, non-materials, and customer-supplied materials) to accounts payable.
Files completed invoices/purchase orders and Distribution Orders
Assists quality to review, organize, scan traveler packets, then file electronically and physical packets as needed
Assists with the scheduling of service calls when necessary (examples: Shred-it, Cintas, Unifirst).
Other Duties as assigned
Supervisory Responsibilities: None.
Qualifications:
The ability to perform all duties and responsibilities satisfactorily with complete confidentiality and professionalism.

Advanced working knowledge of Microsoft Office products; Word, Excel, PowerPoint.
Ability to read, comprehend, and interpret directions, instructions, quality system procedures, correspondence, and memos.
Ability to create correspondence, routine reports, and other correspondence.
Ability to effectively present information in one-on-one and small group situations to employees of the organization.
Strong interpersonal skills are required.
Must be able to deal with confidential information in a professional manner.
Education and/or Experience: Associate’s degree in Business Administration or related field with 1 to 2 years of HR/payroll experience required.
Mathematical Skills: Ability to apply concepts such as fractions, percentages, ratios, and proportions.
Language/Communication Skills:
Ability to read and interpret documents including safety rules, operational instructions, procedure manuals, and MSDS sheets.
Ability to write routine reports.
Computer Skills: Must be proficient using system programs such as Microsoft Word, Excel, and Outlook.
Other Required Ability: Must have good reasoning ability as described below.
Ability to deal with problems involving several variables in standardized situations.
