The Administrative Coordinator assists the Clinical Director in the day to day operations. The Administrative Coordinator will work under the supervision of the Clinical Director and will be responsible for assisting their Clinical Director in a variety of tasks, including but not limited to, client/employee files, client intake process.

Essential Duties and Responsibilities
Managing the intake process: This includes receiving referrals, gathering necessary information about the client, screen new inquiry calls from potential clients and ensuring all required documentation is completed.
Determining eligibility: The coordinator assesses if the client meets the criteria for ABA services, conduct explanation of benefits and verification of benefits
Serving as a liaison: They act as the main point of contact for referral sources, families, and other stakeholders, managing communication and follow-ups.
Onboarding clients: They guide families through the initial stages of receiving ABA services, often utilizing client portals and ensuring a smooth transition.
Collaboration: They work closely with other teams, such as scheduling, authorizations, and client coordination, to ensure seamless service delivery.
Process improvement: The coordinator may also be involved in maintaining and improving intake documentation and templates to streamline processes.
Answering phones, taking, and relaying messages for Clinical Director.
Attend required trainings and meetings
Represent the company professionally and ethically to internal and external stakeholders.
Preferred Qualifications
At least 1 year working with special needs population
Bachelor’s degree in health administration, business, or related field.
Bilingual in English and Spanish is a plus
Knowledge, Skills, and Abilities:
Ability to execute active listening and problem-solving skills to provide exceptional customer service.
Ability to react to day-to-day operational requirements in a professional and timely manner.
Ability to prioritize and multi-task to meet deadlines.
Proven computer skills and knowledge of MS Excel, Word, Outlook; ability to provide IT support and use new computer systems and iPads.
Ability to work for extended hours sitting at a computer.
Key characteristics: strong written and verbal communication skills including phone and e-mail etiquette, organized, professional, attention to detail and collaborative spirit.
Job Type: Full-time
Pay: $40,000.00 – $45,000.00 per year
