Responsibilities:

Open the practice as directed and set up for the morning.

Close the practice for the evening as directed.

Clean and tidy all public areas, including the front desk, reception area, waiting area, office, public bathroom, and exam rooms.

Welcome clients and patients warmly, ensuring their comfort during their visit. Greet clients, offer coffee, and guide them to the waiting area. Keep the magazine selection updated.

Answer incoming calls using proper etiquette. Screen calls for other team members, handle routine inquiries about veterinary services, and offer to send hospital brochures to potential clients. Provide basic advice on animal care and treatment within hospital policies.

Prepare for appointments by retrieving client records and necessary forms in advance. Complete required forms such as new client forms, patient visit forms, consent forms, estimates, and payment agreements.

Handle emergencies following clinic policies, referring clients for immediate treatment of their animals. Assess the nature of injuries/illnesses and reassure distressed pet owners.

Adhere to hospital policies for patient admittance, checking immunization/test status, and recommending updates to clients.

Notify doctors of patient arrivals and relay all necessary information to them and technicians.

Skills and Abilities:

Possession of strong organizational skills.

Excellent verbal and written communication skills. Possess exceptional interpersonal communication skills.

Gain knowledge of our hospital procedures and operating instructions for making appointments, assembling patient medical records, recording test results, relaying information regarding patient’s condition, and compiling and submitting data on patients treated.

Knowledge of the spelling and meaning of commonly used terminology of veterinary medicine to accurately record results of tests and file veterinary medical reports according to alpha, numeric or subject matter headings.

Knowledge of the structure and content of the English language including the meaning and spelling of words, rules of composition, and grammar

Ability to work independently on assigned tasks as well as to accept direction on given assignments.

Requires strong client service skills. Personal contacts are with animal owners affected by a variety of problems, visitors and other healthcare team members.
