Key Responsibilities

Administrative Support

  • Manage calendars, schedule appointments, and coordinate virtual meetings.
  • Prepare reports, presentations, and documentation as required.
  • Handle email correspondence, inbox management, and follow-up tasks.

Client & CRM Management

  • Update, maintain, and organize client information using company CRM systems.
  • Track leads, update sales pipelines, and assist with follow-up communication.
  • Generate CRM reports and ensure data accuracy at all times.

Operations & Project Support

  • Assist with project coordination, task tracking, and deadline management.
  • Prepare weekly and monthly progress updates for internal teams.
  • Help streamline workflows and maintain organized digital filing systems.

Communication & Liaison

  • Act as a point of contact between clients, staff, and external partners.
  • Draft professional communications, meeting minutes, and summaries.
  • Support US-based stakeholders with business-hour alignment where required.

Requirements

  • Minimum 2 years of proven experience as a Virtual Assistant or Executive Assistant.
  • Strong experience with CRM platforms (e.g., HubSpot, Salesforce, Zoho, or similar).
  • Advantageous: Prior work supporting US-based companies or clients.
  • Excellent communication skills in English (written and verbal).
  • High level of professionalism, confidentiality, and attention to detail.
  • Ability to manage multiple tasks and priorities independently.
  • Strong proficiency with Microsoft Office/Google Workspace.
  • Reliable internet connection and a dedicated remote working environment.

Preferred Skills

  • Experience with workflow tools
  • Basic report creation, data entry, and spreadsheet management.
