Position Title: Executive Assistant to the CEO Reports To: Chief Executive Officer (CEO)

Status: Full-Time | Exempt

Location: DeLand, FL (Administrative Office) Anticipated

Position Summary

The Executive Assistant (EA) to the CEO at the Boys & Girls Clubs of Volusia/Flagler Counties (BGCVFC) provides high-level support to the Chief Executive Officer and serves as a key liaison between the CEO’s office and internal and external stakeholders.

This role is ideal for a highly organized, proactive individual with strong administrative, communication, and digital systems skills. The position requires sound judgment, discretion, and a service-oriented mindset that contributes to the effective functioning of the executive office and the broader organizational team. The EA plays a central role in advancing the CEO’s priorities, strengthening internal alignment, and supporting excellence in executive operations.

Key Responsibilities

Executive Support

● Manage the CEO’s calendar, schedule meetings, coordinate logistics, and ensure timely preparation of materials.

● Draft, proofread, and edit executive correspondence, presentations, and reports. ● Prepare agendas, take detailed minutes, and track action items for leadership, board, and executive team meetings.

● Liaise with board members, donors, community leaders, and internal teams on behalf of the CEO, ensuring excellent communication and follow-up.

● Maintain confidentiality while handling sensitive organizational and personnel information.

Project Coordination

● Support key initiatives and special projects led by the CEO and executive team.

● Coordinate timelines, track progress, and help manage deliverables across departments.

● Support development of briefings, reports, and pitch materials for partners and stakeholders.

Administrative & Operational Support

● Maintain well-organized digital and physical files, records, and administrative systems.

● Coordinate travel, meeting logistics, reimbursements, and procurement processes.

● Provide cross-functional administrative support to ensure organizational efficiency.

Digital Competency & Data Readiness

● Utilize platforms such as Salesforce, Google Workspace, MyClubHub, and Microsoft Office Suite to support data entry, light reporting, and operational tracking.

● Develop comfort with organizational systems and tools to support executive and departmental workflow.

Availability & Flexibility

● Occasionally support board meetings, community events, or time-sensitive communications outside standard business hours.

● Assist with high-priority projects requiring quick turnarounds or additional coordination.

Qualifications and Skills

● Minimum 3–5 years of experience supporting senior leadership or executives.

● Exceptional organizational skills and attention to detail with the ability to manage multiple priorities.

● Strong written and verbal communication skills, including ability to draft executive correspondence and prepare presentations.

● Demonstrated experience using digital tools and platforms, including CRMs, spreadsheets, cloud storage, and productivity apps.

● Ability to work independently, anticipate needs, and take initiative in a fast-paced environment.

● High emotional intelligence, discretion, and professionalism.

● Mission-aligned mindset with an interest in nonprofit or youth-serving organizations.

Preferred Competencies

● Comfort navigating cross-departmental coordination and complex calendars.

● Familiarity with data tracking, entry, or basic reporting systems (e.g., Salesforce, Excel).

● Ability to support project documentation and administrative process improvement.

● Growth-oriented individual with the potential for expanded operational or data-focused responsibilities over time.

Job Type: Full-time

Pay: $59,635.00 – $65,909.00 per year

Schedule:

8 hour shift
Monday to Friday
Weekends as needed
