Position Type: Full-time, non-exempt, hourly
Location: Star® Roses and Plants, West Grove, PA ~ hybrid option: 3 days in office/2 days work from home
The opportunity.
As the License and IP Office Assistant, you will fill the pivotal role of supporting the License and IP Administrator with managing various aspects of intellectual property (IP) and licensing operations for the organization. Your daily responsibilities will include tasks related to royalty reporting, licensee management, and patent and trademark administration, as well as general office support functions.
Responsibilities you can expect
Assist manager with the accurate and timely execution of royalty reports, plant breeder reports, and licensee annual schedules by downloading data and updating MS Excel spreadsheets.
Collaborate with team to maintain accurate records in SAP system, including royalty rates, marketing fees, and plant breeder, licensee, product, and vendor information.
Maintain accurate license and trademark physical files and on-line contract files and customer records, ensuring compliance with established procedures and regulations.
Ensure timely collection of monthly licensee statements and vendor rebate reports; this includes reconciling customer statements, researching discrepancies, and overseeing distribution of reports to all stakeholders.
Research and resolve a variety of routine internal and external inquiries to ensure accurate billing, reports, and customer satisfaction.
Support daily function of the office by ordering office supplies and receiving, processing, and distributing mail.
Additional duties as required.
Requirements
A few logistics.
You can expect a normal office work environment. This includes sitting, standing, bending, reaching, a normal range of hearing and vision, and ability to lift up to 20 pounds. You’ll need manual dexterity sufficient to operate standard office equipment. Travel requirements are minimal (0–10%) to visit various local tradeshows and company events.
You have this.
High school diploma or equivalent (GED) and preferably a minimum of 3 years in a professional office environment
Data entry skills with basic understanding of accounting terms
Demonstrated ability in MS Office with a strong ability to update and manipulate data within MS Excel spreadsheets
Professional written and verbal communication skills with strong grammar and spelling
High degree of accuracy and attention to detail
Proven ability to prioritize tasks and manage time effectively. This includes handling time sensitive tasks
Previous trademark or patent experience is helpful but not required
Experience with SAP system is a plus
