What You’ll Do:
Position Overview
Responsible for assuming tasks and projects that support the efficient operation of SVT Health and Wellness (SVTHW). Delegation of tasks and projects are outlined by SVT Health & Wellness Director. Preforms a wide range of administrative and office support activities for managers and employees. Functions as an effective team member to complete any delegated projects.
1. Administrative Tasks
General clerical duties (photocopying, fax and mailing).
Maintain electronic and hard copy filing systems that are in place.
Handle requests for information and data.
Resolve SVTHW administrative problems and inquires.
Prepare written responses to routine inquires.
Prepare and modify documents including correspondence, reports, drafts, memos and emails.
Schedule and coordinate meetings, appointments and travel arrangements for SVTHW staff.
Prepare agendas for meetings and prepare schedules.
Record, compile, transcribe and distribute minutes of meetings.
Open, sort and distribute incoming and outgoing mail.
Coordinate with facility and maintenance department of office equipment.
2. Specific Administrative Support
Gather and organize data, files and materials to complete reports for the Seldovia Tribal Council, granting agency site visits, and other entities as assigned.
Create and maintain clinic administrative files (paper and digital) that are in place.
Form(s) Management, including creation, maintenance, publishing and tracking all administrative and clinical forms within the MCN program.
Create and maintain master list and files for Memorandums of Agreement, and Memorandums of Understanding. Track expiration dates and notify SVTHW Director of renewals needed.
Meeting preparation to include: Maintain and communicate monthly meeting schedules. Schedule meetings via Zoom and appropriate conference rooms. Agenda development (tracking action items) and dissemination. Room set-up (tables, chairs, videoconferencing equipment, etc.) Coordinating refreshments and/or food (as requested by SVTHW Director). Recording, transcribing and disseminating meeting minutes.
Coordinate travel arrangements for locum tenens, on-site interviewees and other individuals as requested.
Act as liaison between leased apartment owner(s) and SVTHW, including tracking occupants, cleaning schedule and updating Outlook calendar.
In coordination with the Facilities Manager, track the usage of SVT vehicle, including updating Outlook calendar.
Follow federal, state and local legal guidelines to include but not limited to HIPAA, CLIA, OSHA, and ICWA.
Maintain strict confidentiality for all patient partners and their families. Protect the security of all patient medical and dental records to ensure that confidentiality is maintained following HIPAA and PPI regulations as outlines in SVT and SVTHW policy and procedures.
Promote facility and SVT programs at every possible opportunity.
Perform other duties as assigned.
What You’ll Need:
Associate’s Degree, preferred. Field of study: Healthcare Administration. Will accept work experience equivalent
1+ years similar experience required
Microsoft Word and Microsoft Outlook proficient.
Excellent written and verbal communication skills
Problem assessment and problem solving
Excellent skills in planning, prioritizing, organization, accuracy, and detail-orientation are required to be successful in this position.
Customer service orientation
Travel Requirements:
Travel between Homer, Seldovia, and Anchor Point. Travel may be by car, boat, or plane. Travel is conducted as day-trips unless otherwise requested by circumstances, but inclement weather may make overnight stays necessary.
