GENERAL JOB DESCRIPTION
Responsible for interacting with contractors, property owners, and employees in providing information and help pertinent to all aspects of new home construction and miscellaneous projects within Fairfield Glade.
DUTIES AND RESPONSIBILITIES
Represents the Fairfield Glade Community Club in daily activities.
Ensures Article XII, Architectural Controls; and Article XIII, Use Restrictions of the amended and restated Declaration of Covenants and Restrictions are followed.
Works closely with contractors, home, and lot owners, in receiving and reviewing all Architectural Control submittals for new homes and miscellaneous projects to obtain all necessary information – including working E 911 addressing for new homes.
Responsible for accepting building permits fees and change order fees.
Assist, in person or by phone, property owners with questions, complaints, including the receipt of tree removal requests and other miscellaneous requests.
Coordinate with IT Department to maintain information on the web page for Architectural Control.
Prepare for the Architectural Control meetings held on the 1st and 3rd Tuesdays of the month January through October and one monthly for November and December.
Responsible for notifying property owners and contractors of approvals and/or denials for miscellaneous projects after each meeting.
Assist in preparing support detail for issues referred from the Architectural Control Committee to the Board of Directors for their action.
Assist in mailing out letters of approval for change orders, inspections on new home construction, and changes to existing homes.
Coordinate with the inspector on setting up the numerous job site inspections before the Architectural Control Committee meeting and after the submittal is approved.
Update the miscellaneous projects list.
Maintain the computerized records retention system. Also maintain an effective filing system for all Architectural Control activities.
Responsible for a high level of effective communications/knowledge sharing.
Maintain the Architectural Control Committee New Home Requirements, Manufactured Homes Requirements, and Exterior Addition Requirements policies and designs forms.
Other duties as assigned.
EDUCATION AND EXPERIENCE
High School Diploma or GED
1-3 years in an office setting
Customer Service Experience
REQUIRED SKILLS AND ABILITIES
Excellent verbal and written communication skills.
Excellent interpersonal and customer service skills.
Basic understanding of administrative and clerical procedures and systems.
Proficient with Microsoft Office Suite or related software.

PHYSICAL REQUIREMENTS
Prolonged periods of sitting at a desk
Must be able to lift 20 pounds at a time (more with assistance)
