Job Function

The incumbent will be responsible for ensuring that maintenance periods are calculated according to agreed Service level agreement between the service provider and IFNF. Will also be responsible for ensuring that vehicles and equipment is maintained according to OEM and ImperialFNF requirements. Responsible for ensuring that all vehicles and fridge and tail lifts in the fleet are part of the Maintenance plan as well as ensuring that the preventive maintenance captured is correct and that the system updates correctly. The incumbent must monitor warranty and cost to maintenance contracts and compile completed FAC and quotes to request orders from the Claims Department. Will also be responsible for compiling admin reports which verify the status of the assets on contract.

Key Performance Areas

  • Capture accurate data on Work order.
  • Ensure that all Maintenance is carried out when the vehicle is planned into the w/shop: eg: Horse, Trailer, fridge, tail lift.
  • PO & Receipting: create purchase orders to the correct cost centre and receipt accurate cost and quantity.
  • Capture oil transactions and report on oil usage.
  • Daily capturing of breakdowns.
  • Capture individual labour time per Work order.
  • Ensure all work orders are captured.
  • Filing and TMS housekeeping.
  • Creditors queries.
  • Ensure accurate history on assets of preventive maintenance
  • Assuring accurate cost allocation.
  • Ensure service will not over run Less downtime time on the asset.
  • Assuring accurate cost allocation.
  • Maintain vehicle history.
  • To determine manpower utilization and productivity.
  • Ensure that accurate cost is processed.
  • Resolve queries so that accounts do not fall overdue or put on hold.
  • Not to restrict other departments from capturing their transactions.
  • Ensure that the correct parts and quantities are issued to correct work order.
  • Responsible for the administration with regards to licensing and registration of the fleet.

  • Responsible for the overall coordination, control and management of company licensing, registrations, transfer of ownership, police clearance, deregistration Complete requisitions for payment of registration and licensing. Updates database on expiry dates of all licenses. Ensure certificates of fitness for all vehicles are up to date.

Qualifications Required

  • Grade 12

Experience and Skills Required:

  • Minimum 3 years workshop environment
  • Good knowledge on inventory management
  • Working knowledge of Internet, Ms Outlook, Ms Excel and Ms Word
  • Admin qualification and knowledge of the road traffic act, licensing and Administrative Adjudication of Road Traffic Offences (AARTO) system will be an added advantage
  • Good supervisory skills
