Role Description
We are seeking a highly organised and detail-oriented Accounts and Administration Executive to manage the day-to-day financial operations and provide administrative support across multiple group entities. The ideal candidate will ensure regulatory compliance, coordinate intercompany transactions, support budgeting and reporting processes, and handle key administrative functions such as documentation, scheduling, and record maintenance.
The role requires hands-on experience in accounting, VAT compliance, payment processing, and interdepartmental coordination.
Key Responsibilities1. Financial Operations
Manage and process monthly management fees and salary payments across entities.
Handle bank reconciliations, payment transfers, and validation of vendor and utility bills.
Ensure timely payment and tracking of insurance, dues, and rentals.
2. Shipment & Trade Coordination
Monitor and validate shipment invoices, COO payments, and trade-related transactions.
Reconcile royalty payments and maintain documentation for import/export activities
3. Compliance and Renewals
Maintain a compliance tracker for timely submission of VAT returns, FD renewals, PO Box, COI Registers, and trademark updates.
Liaise with auditors, external consultants, and ensure proper filing and payment coordination.
4. ERP & Records Management
Update and maintain Microsoft Dynamics 365, including recording of supplier and client invoices.
Initiate new company setup in the ERP and organise all financial records, bank files, and compliance data.
5. Reporting & Budgeting
Assist in quarterly management reports, CAPEX tracking, and provision planning (VAT, rent, gratuity, royalty).
Provide bank balance confirmations and monitor loan repayment schedules.
6. Payroll & Staff Reimbursements
Validate and process staff payroll, insurance cheque settlements, and credit card payment tracking across entities.
Maintain accurate employee reimbursement and benefit records.
7. Intercompany & Investor Coordination
Support dividend transfers, loan distribution schedules, and investor funding coordination.
Handle queries related to group bank accounts and capital allocations.
8. Administrative Support
Assist in maintaining filing systems, physical and digital document organisation across departments.
Coordinate with internal departments for calendar scheduling, meeting setups, and follow-ups.
Manage basic procurement, stationery needs, and PO Box renewals.
Support team members with KYC form preparation, basic HR coordination, and correspondence.

Skills & Qualifications
Bachelor’s Degree in Accounting, Finance, or related field.
ACCA, CPA, CMA, or equivalent qualification preferred.
5+ years of experience in accounting and finance, ideally in multi-entity organisations.
Proficiency in Microsoft Dynamics 365, Excel, and online banking platforms.
Strong knowledge of UAE VAT regulations and compliance practices.
Excellent organisation, attention to detail, and communication skills.
Ability to multitask and coordinate with internal and external stakeholders.
