Description
The Administrative Assistant plays a crucial role in supporting the Chief Operating Officer and the entire Operations team.
Their responsibilities include, but are not limited to, the following:
Assist the COO in his daily tasks;
Attend operations meetings and take minutes;
Write and send various communiqués;
Write and prepare presentations;
Proofread and translate documents;
Organize meetings;
Coordinate the training team’s agenda, organize training logistics and send out invitations;
Help manage PDUs with ChAD: follow up on employee files, enter PDUs on the ChAD portal during in-house training sessions;
Manage the COO’s agenda and expense account.
Job Requirements
Technical skills
Diploma in office automation, secretarial studies or equivalent;
Excellent knowledge of Microsoft Suite (Word and Excel);
Excellent command of French and English (oral and written).
Personal skills
Attention to detail, precision and attention to detail;
Strong organizational skills;
Proven ability to work in a dynamic environment, setting priorities;
Flexibility;
Discretion;
Demonstrate good team spirit.
Complementary skills
Knowledge of EPIC software, an asset;
Valid AMF permit – Property and casualty insurance, an asset.
Specific working conditions
Flexible working hours may be required, including office presence at least three days a week.
