Summary

We are seeking a highly organized and dynamic Front Office Receptionist to join our team. This role is critical in ensuring our office runs smoothly and efficiently while providing exceptional support to our team and stakeholders.

Key Responsibilities

Visitor & Call Management

Greet visitors in a friendly and professional manner, directing them to the appropriate person or department while maintaining a welcoming reception area.
Answer, screen, and direct incoming phone calls, ensuring inquiries are handled promptly and accurately.

Office Operations & Supplies Management

Oversee office supplies by monitoring stock levels, placing orders (including scheduled Costco runs), and managing vendor relationships to ensure consistent availability of necessary materials.
Track, manage, and replenish grower swag inventory as well as Swag Shop store items, ensuring promotional materials remain current and well-stocked.
Receive, sort, and distribute mail and packages from FedEx, UPS, USPS, and other carriers, ensuring timely delivery to the appropriate employees.
Ensure outgoing mail and deliveries are properly documented and securely handled, particularly sensitive documents
Coordinate office lunch meetings, including arranging catering, placing orders, and ensuring timely setup
Maintain and update executive and team calendars, scheduling meetings and coordinating travel arrangements, including agendas, accommodations, and transportation logistics.
Assist in organizing in-person and virtual meetings by preparing materials, setting up conference spaces, and documenting follow-up notes.
Assist in planning and executing corporate events and special projects.
Coordinate any office maintenance needs, including scheduling plumbers, electricians, and repair professionals for lighting fixtures, plumbing, or general repairs.
Manage kitchen and cleaning supplies, ensuring stock levels are maintained for coffee, snacks, utensils, and cleaning essentials.
Liaison with maintenance and janitorial staff, addressing urgent cleaning or repair needs and ensuring a clean, functional work environment.
Monitor and maintain the first aid kit and employee safety supplies, ensuring compliance with safety regulations and prompt restocking as needed.
Support data entry, filing, and document management, implementing organized systems for easy retrieval and compliance with record-keeping policies.

QULAIFICATIONS

Excellent interpersonal and communication skills, both written and verbal.
Bilingual (Spanish)
Ability to work 8–10-hour shifts, four to five days per week.
Prior experience in office administration or a similar role.
Strong organizational skills and the ability to multitask effectively.
Act as a liaison between executives, staff, and external stakeholders
High level of discretion when handling sensitive information
Proficiency in Microsoft Office Suite and office management software.
Ability to work independently and collaboratively in a fast-paced environment.
Reliable, communicative and keep their schedule to best of their ability.
Ability to lift/push 15-50 lbs.
Ability to follow all policies and guidelines.
Willing to demonstrate a professional attitude
