We are seeking an organized and detail-oriented Administrative Assistant to support our office. This position is a multifaceted role that focuses on general administrative duties within the realm of the property management department.
Responsibilities:
Provide general administrative support which includes but is not limited to scanning, copying, filing, printing, composing letters and email correspondence, preparing mail, and making phone calls
Answer and direct incoming calls
Communicate with vendors, contractors, and service providers via phone and email
Schedule and coordinate property maintenance requests
Assist in the Tenant lease and utility billing process
Correspond with utility companies to set up and disconnect service
Research and compile preliminary information on potential vendors for management review
Coordinate repair estimates and snow and landscaping proposals
Coordinate with town officials and inspector on property issues
Required Qualifications
Previous experience in an administrative role
Proficient in Microsoft 365 (Excel, Word, and Outlook) and excellent computer skills
Excellent organization skills and communication skills (written and verbal) with high level of attention to detail.
Excellent research skills
Highly organized with an ability to work independently as well as in a team
Preferred Qualifications
Fluency in Spanish (speaking, reading, and writing) a plus, but not required
Customer service experience
