The responsibilities associated with the position include:

Executive calendar management

  • Effective management of Executive's calendar, Managing executive meetings and travel to support achievement of Executive needs (plant visits, board trip)

Schedule and events management

  • Plan, schedule and organize multiple activities.

Meeting management

  • Send calendar invites, meeting room reservation, minutes of meetings, dissemination of agenda and action items.

Office Administration

  • Handle general correspondences, courier services
  • Report preparation, consolidation
  • Develop and maintain data and files storage/retrieval systems and procedures.

Travel Management

  • Makes travel arrangements; prepares itineraries; prepares, compiles and maintains travel vouchers and records.

Financial Administration

  • Prepare Request For Payment, Expense Report
  • Process petty cash requests and maintain adequate petty cash fund
  • Procurement and management of office supplies inventory
  • Budget preparation

Fleet Management

  • Maintains accurate vehicle records, fuel consumption, and fuel costs, including driver management and route planning.
  • Facilities vehicle registration, repairs and preventive maintenance.

Position Requirements:

🛠️ Skills:

  • Office administration
  • Digital skills
  • Proficient on the use of Google Suite or MS office
  • Proficient in Calendar management
  • Strong coordination skills

💼 Experience:

  • At least 2 to 3 years’ experience in the same field

🎓 Education:

  • Graduate of any 4-year degree course
