Requirements

Degree, Advanced Diploma, Post Graduate Certificate, or equivalent

At least 5 years’ experience in a similar role

Call centre & Customer service supervisor experience

Financial & Admin experience

Experience with BPCS and FMCG environment is advantageous

Strong supervisory skills

Excellent analytical skills

Attention to detail and accuracy

Good problem-solving skills

Assertiveness

Ability to work independently and under pressure

Computer literacy

Duties

and Responsibilities Financial / Admin

Ensure an accounting system verifies all source documentation and supplies accurate, timely management information (Document control and approval based on audit requirements)

Process and manage purchase orders

Manage creditors’ payments promptly

Allocate costs based on expenditure and budget

Manage financial accounting system

Monitor expenditure in relation to budget

Prepare monthly expense provisions

Manage petty cash expenditure, month-end reconciliation, and reimbursements

Handle Xdoc Billing PO

Facilitate new vendor applications

Prepare weekly, daily, and monthly financial reports (KPIs)

Call Centre

Manage the full function of the Call Centre

Prepare weekly, daily, and monthly Call Centre KPI reports

Ensure timely placement of all orders

Post all EDI orders

Update and communicate customer master files (NOD & NDD)

Communicate non-order gaps to Sales

Coordinate customer order trims with Sales and management

Maintain department KPI tracker

Monitor customer order times and enforce order cut-off times

Investigate and resolve past due orders

Manage export order tracker

Admin

Duties

Provide accurate information to support operations and staff productivity

Maintain recordkeeping systems and policies; monitor control points

Keep current and archived records of financial source documents

Manage staff performance: training, workload organization, performance monitoring, team building, disciplinary actions

Ensure adherence to administrative processes and procedures

Oversee proper management of DC assets

Support Kronos (timekeeping backup)

Perform ad hoc administrative duties
