A Brief Overview
Under the general supervision of the Accounting Manager. Perform accounting and clerical tasks related to the efficient maintenance and processing of accounting tasks and procedures. This role involves handling a variety of tasks related to organization and communication to contribute to the overall success of the company. The ideal candidate will be organized, detail-oriented, and capable of managing multiple responsibilities in a fast-paced environment.
Essential Activities
- Sales Functions: Post-released Sales Orders that have been shipped/released from the warehouse. Check for margins, posting groups, and appropriate freight costs.
- Sales Functions: Catalog all copies of Certificates that are retained for receiving and shipping vegetable seeds.
- Admin Functions: Coordinate with the Facility Manager for all Oceano facility repair and maintenance issues.
- Admin Functions: Responsible for all incoming faxes, distribution of mail, posting, and delivery of mail.
- Admin Functions: Responsible for all office supplies, copier equipment supplies and maintenance, and stock cleaning and kitchen supplies.
- Admin Functions: Maintain the Bejo calendar, birthdays, Outlook contacts, facility contacts, and the maintenance of the Bejo House Guest calendar.
- Admin Functions: Maintain company Lists; Seed/Dealer Licenses, Bejo memberships, and awards.
- Finance Functions: Scan and process all desktop deposits.
- Finance Functions: Scan all hard copy/mailed invoices into our Business Central ERP system.
Qualifications
- Highschool Graduate or G.E.D. completion
- 1-3 years of work experience as an administrative assistant or similar role.
Knowledge, Skills & Abilities
- Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).
- Strong Analytical skills and attention to detail. Ability to analyze data and financial information to identify trends and discrepancies.
- Communication Skills: Strong verbal and written communication skills to effectively interact with internal teams and external parties.
- Ability to work independently and as part of a team
