Full Job Description
DUTIES & RESPONSIBILITIES:
Under the supervision of the on-site Admin Lead, the Admin Office Floater will:
Greet all incoming visitors and clients, directing them to the appropriate staff or activities.
Follow COVID safety protocols and procedures daily
Answer phones, and direct calls to the appropriate persons, take phone messages and email to corresponding staff.
Open and close client files and follow program procedures.
Assist with auditing client files
Data entry, copying, and scanning forms.
When appropriate, refer community members to our in-house clinical, counseling, case management, and supportive services.
Will collect financial and demographic information telephonically as part of the participant intake process.
Provide daily and general oversight of administrative responsibilities including monitoring of assigned contracts and assisting with program auditing of contracts, including accurate documentation of all service activities, preparation of periodic contract reports, and compliance with all contract requirements in accordance with Federal, State, County, City and agency guidelines.
Assist Admin Lead, directors, and program staff with administrative functions.
Must have reliable insured transportation to travel to other HYC office locations for admin coverage when needed.
Perform other duties as assigned.
One-year full-time work experience in Administration or General Office duties.
Bilingual in English and Spanish
Knowledge of computer software such as Microsoft, Excel, and Outlook program applications
Must be reliable, flexible with hours, and cover admin in other HYC locations (Commerce, Whittier, and Long Beach).
Valid California drivers license, current auto insurance, and a good driving record.
Ability to effectively work with people of diverse backgrounds.
