The Admin & Operations Executive supports daily business operations with a focus on administrative coordination, basic finance support, and operational efficiency. The role requires strong organisational skills, attention to detail, and a basic understanding of finance-related processes.

Job Responsibilities

Office Administration

  • Oversee daily office operations including phone calls, visitor reception, mail handling, and maintaining an organised workspace
  • Ensure office equipment and supplies are well-stocked, functional, and properly maintained

Correspondence & Documentation

  • Organise and maintain company files, records, and documents for easy retrieval
  • Support data entry, record keeping, and general document management tasks

Facilities Management & Procurement

  • Coordinate office maintenance, repairs, and service provider appointments
  • Manage purchasing, inventory tracking, and distribution of office supplies

Budgeting & Expense Tracking

  • Assist in preparing, tracking, and reporting administrative budgets and expenses
  • Monitor office expenditures, reconcile invoices, and support petty cash management

Finance & Accounts Support

  • Assist with data entry for accounts payable/receivable and financial records
  • Support finance team in invoice processing, payment tracking, and audit documentation

General Support

  • Provide administrative and operational support to various departments as needed
  • Assist with ad-hoc tasks to ensure smooth daily business operations

Requirements

  • Diploma or equivalent qualification.
  • 1-2 years of experience in an administrative / finance / operation role.
  • Proficient in Microsoft Office / Google Workspace
  • Good written and verbal communication skills in English.
  • Strong organizational, multitasking and time management skills.
  • Detail-oriented, responsible, and able to work independently
  • Good communication and coordination skills
  • Meticulous attention to detail and a proactive approach to problem-solving.
  • Fluency in Mandarin will be an added advantage.
