Position: Admin Cum Operations Assistant

Contract Period: 2 years employment contract

Contract Term:

Job Responsibilities:

Maintain agenda and assist in planning appointments, board meetings, conferences, etc.

Attend meetings and keep minutes, receive and screen phone calls, and redirect them when appropriate. Handle and prioritize all outgoing or incoming correspondence (e-mail, letters, packages, etc.) and greet visitors.

Maintain electronic and paper records ensuring information is organized and easily accessible.

Possess excellent

communication skills

, both written and verbal, and handle confidential documents ensuring they remain secure.

Renew and manage office licenses/trade licenses and third-party contracts.

Manage the company’s legal documentation processing, employee visa renewals, and other government compliances/renewals.

Maintain high standards of accuracy and quality in data entry and recordkeeping.

Monitor office supplies and negotiate terms with suppliers to ensure the most cost-effective orders.

Prepare PR/PO for office-related material and other requirements including office stationery.

Plan for food and supplies at the time of client meetings or functions.

Make travel arrangements for executives (Flight/Hotel/Visa booking) and manage schedules and calendar for deadlines.

Make arrangements for new employees for seating, PC, access cards, etc. Assist in office renovation and handover of company vehicle and assets.

Maintain all office equipment under AMC (Vehicles/Machinery/AC/Vending Machine/Water filters/IT equipment/First Aid Kits, etc.).Manage

training and development

initiatives, performance appraisal systems and policies, oversee benefits and compensation (Accounts, Attendance, Utility Bills, Petty Cash & reconciliations of Payroll for staff and workers).Plan, coordinate, and optimize administrative procedures, resolving conflicts through positive and professional mediation.

Handle workplace investigations, disciplinary, and termination procedures.

Provide administrative support to top management and the general office. Monitor and improve office systems and procedures ensuring policy awareness.

Maintain employee files and workplace privacy.

Oversee facilities management of company branches/warehouses/accommodations.

Handle custom clearance for imports and exports, creating custom documents BOE for material inward and outward, and keeping an accurate track record for material and machinery.

Renew and manage the company’s real estate-related matters including contract preparation, cheque management, ejari/registration, and termination.

Required Candidate:

Education:

Graduate in any discipline.

Age: 30-40 years

Male/Female Technical Skill set:

Computer proficient

Work Experience:

Minimum 3 years (preferably in Gulf countries)

Language Skill set:

Fluency in English (Spoken & Written)
