Full Job Description

Job Title: Administrative Assistant

General Summary: We are seeking a detail-oriented and organized administrative assistant to provide crucial support to our civil engineering team. The ideal candidate will be responsible for various administrative tasks, ensuring the smooth functioning of our office operations. This role demands exceptional organizational skills, effective communication abilities, and proactive approach to problem-solving.

Primary Duties and Responsibilities:

Office Management:

Greet visitors, answer and direct phone calls, and respond to emails in a professional manner.

Maintain office supplies inventory, anticipate needs, and place orders as necessary.

Assist in organizing meetings, conferences, and other office events.

Document management:

Prepare and edit correspondence, reports, and presentations.

Manage and maintain documents, both physical and electronic, ensuring accuracy and confidentiality.

Assist in preparing project proposals, contracts, and other engineering documents.

Administrative support:

Provide administrative support to engineers and project managers, including scheduling appointments, making travel arrangements, and managing calendars.

Coordinate with various departments to gather and disseminate information.

Assist in generating reports and summaries as required.

Job Qualifications:

High school diploma or equivalent: associate’s degree or higher preferred

Proven experience as an administrative assistant or in a related role.

Proficiency in MS Office Suite (Word, Excel, Power Point, Outlook) and office equipment

Strong organizational and multitasking skills with keen attention to detail.

Excellent communication skills, both written and verbal

Ability to work effectively in a team and independently.

Prior experience in a civil engineering or construction-related field a plus.
