Responsibilities*
As a member of the Department of Surgery, this individual will provide high-level administrative support to the Departments leadership team and will be responsible for comprehensive administrative support as described below:
Administrative Support
Provide administrative support to Surgery Administration faculty and staff, including serving as back-up for the Executive Assistant to the Chair of Surgery and Chief Department Administrator
Manage complex calendars and provide schedule management within Microsoft Outlook for Surgery Administration staff and faculty, including responding to frequent changes in schedule
Coordinate numerous meetings, including both in-person and Zoom, within the Department and/or with external parties/affiliates
Prepare and submit travel arrangements on behalf of Surgery Administration staff and faculty
Assist faculty with correspondence, maintain CV, Elements, Zoom, biosketches and other support
Assist with written materials (e.g. letter writing) for content and grammatical correction ensuring that deadlines are met, and all materials required are correctly assembled Lead, manage, and execute special projects
Assess and handle highly-sensitive and confidential matters with discretion and integrity
Will involve regular on-site and remote work, with some rare instances of evening and weekend needs
Perform other related duties, as assigned
Office Duties
Manage all aspects and activities of the Department of Surgery’s Grand Rounds
Assist with event coordination, as needed, including reserving meeting rooms and arranging catering and AV needs
Accountable for oversight of the Administrative Suite Aspects such as: ensuring supplies are stocked, mail is sorted and distributed, and office equipment is functional Participate in team meetings and assist team members
Complete administrative financial tasks, such as P-Card reconciliation, Concur expense reports, processing purchase orders/invoices, etc.
Required Qualifications*
Senior Level:
High school diploma or equivalent
4 years progressively responsible administrative experience
Intermediate Level:
High school diploma or equivalent
2-4 years progressively responsible administrative experience
Both:
Proven ability to prioritize, have exceptional organizational skills, meet deadlines, and produce detailed and accurate work
Demonstrated ability to work successfully within a team and also independently and exercise good judgment
Proficient with Microsoft 365, including Outlook and Word, as well as Zoom and the ability to effectively learn and leverage new tools and programs
Proven ability to assess and handle highly sensitive and confidential matters with discretion and integrity
Excellent written and oral communication skills; strong interpersonal skills
Modes of Work

Background Screening
Michigan Medicine conducts background screening and pre-employment drug testing on job candidates upon acceptance of a contingent job offer and may use a third party administrator to conduct background screenings. Pre-employment drug testing applies to all selected candidates, including new or additional faculty and staff appointments, as well as transfers from other U-M campuses.
