Job Summary

Admin Support Executive will be responsible for supporting end-to-end product development and production operations. This role oversees invoicing, credit note management, and payment follow-ups to vendors while maintaining accurate cost tracking for development and production. This position will also support production coordination, including shipment documentation checks, landed cost tracking for margin analysis, and liaising with internal teams and external vendors to ensure smooth workflow from development stage through purchase order fulfilment and shipment readiness.

Duties & Responsibilities

  • Finance & Admin
  • Oversee the invoicing process, including issuing of manual invoices
  • Manage the issuance of credit notes and handle billing discrepancies
  • Support the finance function with basic bookkeeping or reconciliation tasks related to production costs
  • Liaise with local forwarder for shipping quote and co-ordinate with supplier on shipping advise on shipping mode by air, sea, and courier.
  • Prepare commercial shipping invoice and packing list to our regional-Thailand, Malaysia, Taiwan and Como Hotels-Overseas.
  • Production Department
  • Courier support – prepare packages to vendors, keep track of courier costs
  • Studio support – when necessary, help with sample steam / studio prep.
  • At development stage – to oversee prompt invoice payments and keep a tracker for each brand with respective development costs.
  • Purchase Order stage – Admin Support Executive to follow up with payments. Cross check Packing lists & Commercial invoices against purchase orders.
  • Give the go ahead for shipment

Requirements:

  • Min diploma or at least 3 years relevant working experience as an Office Admin Support
  • Pleasant & friendly disposition
  • Good phone etiquette and excellent organizational and time management skills
  • Attentive to details and strong following up ability
  • Proficiency in MS Office
