Admin Support – Front Desk Jobs in Vancouver, WA at Real Life Counseling PLLC

We are currently seeking a reliable, punctual, bright, and professional Executive Assistant with a positive, upbeat attitude for a full-time in-office opportunity. Excellent written and verbal communication is a must. Candidates with 2+ years’ experience are preferred. Proficiency with Microsoft Office, especially Outlook, is a prerequisite. Experience with DocuSign and Zoom is preferred but not required.

Position Summary:

Must be punctual & reliable
Strong reception and phone operator skills
Ability to set priorities, multi-task, and possess strong organizational skills
Excellent communication skills both written and verbal

Duties and Responsibilities include but not limited to:

Telephone call management – good phone personality, screen and use judgment in prioritizing calls and handling solicitors
Greet visitors and coordinate conference room accordingly
Provide professional and administrative support for all staff (filing, mailing, copying, scanning, etc.)
Route contracts and documents between owners, banks, insurance companies, investors, contractors, and sub-contractors
Open all mail, with a few minor exceptions, and distribute accordingly
Prepare, ship, and track messengers and overnight deliveries
Keep kitchen and supply closets stocked and organized
Keep the office tidy and well stocked which includes printers, copiers, fax & postage machines
Maintain a safe and clean reception area
Document Scanning and faxing
Bank Deposits
Maintains and updates office contact sheets
Ordering and picking up lunches

Job Type: Full-time

Pay: $26.45 – $28.85 per hour

Expected hours: 40 per week
