Key Responsibilities
Calendar & Schedule Management
- Google Calendar Ownership: Maintain and meticulously update master Google Calendars to reflect real-time instructor placements and school assignments.
- Daily Roster Coordination: Map out complex daily schedules ensuring instructors are assigned to the correct schools each day, minimizing travel friction and gaps.
Manpower Planning & Substitute Resolution
- Proactive Planning: Forecast manpower needs based on school terms, peak periods, and instructor availability.
- Leave & Absence Management: Act swiftly when an instructor requests leave or calls in sick. Find, propose, and secure alternative arrangements immediately to ensure zero disruption to school sessions.
Stakeholder Communication
- School Liaison: Serve as a primary point of contact for school principals and administrators regarding scheduling updates, changes, or emergencies.
- Multi-Channel Updates: Send clear, professional, and timely updates via WhatsApp (for urgent, real-time changes) and Email (for formal scheduling and confirmations).
- Strategic Problem Solving: Propose creative scheduling solutions and optimization strategies to maximize instructor utilization and efficiency.
Job Requirements
Skills & Qualifications
Experience: 1–2 years of experience in scheduling, operations, logistics, or an administrative support role (experience in the education or enrichment sector is a major plus).
Entry level is welcome as long as you meet the basic requirements
Tech Savvy: Proficient with Google Workspace (specifically Google Calendar and Sheets). Comfortable using WhatsApp Business and professional email platforms.
Communication: Exceptional written and verbal communication skills. Ability to communicate with authority figures (like school principals) with tact, clarity, and professionalism.
Problem-Solving: Strong critical thinking skills with the ability to pivot and find backup solutions quickly under pressure.
Compensation: 16-18k for entry level
