Job Title Administration Assistant
Location: Brussels, Belgium
Salary : Between 2800 to 3000 gross
Responsibilities:
Schedule meetings, prepare agendas, reports, and presentations for board, committee, and working group meetings. Coordinate with all attendees.
Facilitate meetings, capture action items and decisions.
Manage post-meeting activities such as distributing minutes, tracking action items, and following up on outstanding items.
Provide administrative support including scheduling, travel arrangements, and expense management.
Assist with managing corporate partnership deals and sponsorship agreements.
Track and manage the administration of grants and awards.
Maintain governance documents, policies, and other relevant materials in a centralized repository.
Assist with planning and executing association events, programs, and projects.
Liaise with volunteer groups and committees, providing them with guidance, resources, and feedback.
Handle inquiries from members, partners, and the public and direct them to the appropriate person or department.
Organize and maintain files, records, and databases.
Qualifications: Education details
Required Skills:
Eligible to work in the EU.
At least 2 years of experience in an administrative or support role, preferably in a non-profit or association setting.
Fluent in English (C1 level, both written and spoken). Knowledge of another language is an asset.
Proficient in Microsoft Office, Google Suite, and other web-based tools.
Ability to work independently and collaboratively with a diverse team.
Strong organizational, time management, and problem-solving skills, with the ability to prioritize and multitask.
Flexible, agile, and committed, especially during busy periods.
Knowledge of and interest in the association’s field and mission.
Willingness to travel abroad for certain meetings and events.
Available to join the team at short notice.
