Title: Administration Assistant

Company: KI Training and Assessing – RTO #52593

About Us:

At KITA, we specialise in delivering high-quality training and safety solutions tailored to the needs of industries that operate in high-risk environments. Based in Belmont, we work closely with both public and corporate clients, providing Nationally Recognised Training to the Mining, Construction, and Industrial sectors. But we’re more than just a training provider; we’re a close-knit team that values collaboration, enjoys a bit of fun, and always finds time to celebrate our achievements.

From our Friday lunch “Toolbox” sessions to the occasional game of fact or crap, our culture is all about keeping things lively, supportive, and engaging. We believe in celebrating the small wins, whether it’s with party blowers or birthday cake, and we make sure everyone feels part of the team. If you’re looking for a workplace that values your contribution, offers variety in your day-to-day tasks, and supports you every step of the way, then KITA could be your next great opportunity.

The Role:

We are on the lookout for a dynamic, highly organised and adaptable Administration Assistant to join our vibrant Belmont office. This role is perfect for someone who thrives on juggling multiple tasks with a smile, has a keen eye for detail, and isn’t afraid to roll up their sleeves and get things done. Whether you’re an admin superstar or have experience in roles that required sharp organisational and time-management skills, we want to hear from you!

Key Responsibilities:

Answering customer enquiries over the phone with your friendly, professional manner.

Welcoming students each morning and helping them check in for their training.

Calling out the lunch and coffee vans (trust us, this is an art form).

Monitoring the KITA Inbox and directing emails to the right team members (no lost emails on your watch).

Handling bookings, quotes and occasionally simple invoices – for companies and public customers alike (finance/admin experience? Even better!).

Packing and preparing training paperwork for next day’s courses – organised paperwork = happy trainers!

Keeping the staff and student kitchen areas clean, tidy and well stocked. – You’re in charge of the pantry.

What We’re Looking For:

Prior administration experience or roles where multitasking was your bread and butter.

Proficiency in Microsoft Office Suite – you’re the go-to person for Excel, Word, and Outlook.

Excellent written and verbal communication skills – your emails are clear, concise, and typo-free.

A keen eye for detail – you spot the missing comma, the incorrect details on an invoice and an unpaid booking.

A professional yet approachable manner – you’re confident handling queries with a smile.

A sense of humour and high team engagement – because who doesn’t love a bit of birthday cake and a laugh?

Why Join Us?

A supportive and inclusive team environment – we’re all about the Friday Focus, a dedicated time for sharing our wins, voicing what’s been bugging us, and catching up on team updates. It’s our way of keeping everyone connected and accountable.

Every day is different – you’ll never be bored, and we make sure everyone shares the load. You won’t be stuck doing the exact same tasks every day, as we believe in shared responsibility and teamwork.

Ongoing training and development to help you grow in your role (we invest in our people).

A vibrant workplace culture that values every team member – Expect celebrations, laughs, and a workplace that actually enjoys working together.
