Job Title:Administration Assistant

Department

Reporting To:Customer Services Manager

Name Of Post Holder:PURPOSE OF THE POST

To be committed to achieving the highest level of Customer Service to the customers of Sci-Tech Laboratories by assisting in the receipt of samples and general administration jobs within the department, adhering at all times to the requirements of ISO 17025: 2017

MAIN DUTIES

To assist with consumable requests from customers, to be sent out the same day when required (Highbury/Lloyds etc)

To be responsible for ensuring sufficient stock levels are maintained in the consumable shed and front office and to keep these areas clean and organised.

To be responsible for purchase control and to ensure the suppliers product guide and quotations spreadsheet are updated and maintained.

To perform the monthly stock check of all areas, update the stock spreadsheet and send this to the Purchase Control manager.

To be responsible for sending off APHA Slopes every day.

To assist with the registration of samples including sending sample queries to customers in an accurate and timely manner on Tuesdays and when are other staff are away or busy with other jobs which are priority.

To deal with the management and direction of enquiries from both existing and potential customers.

To assist with answering of phone calls when members of staff are unable to answer the phone.

To amend reports when requested by the customer, noting that if a request is taken over the phone we need to ask the customer to send written confirmation of the request.

To assist in sending out the Daily Notification Spreadsheets when members of staff are away or busy with other jobs which are priority.

To assist with importing of results when these have been brought up to the office.

To take responsibility for changing over the Server tape when other members of staff are away.

ï‚· To read and comply with company rules, procedures, agreements and any notices displayed by the Company

Quality

ï‚· To operate in line with the site Quality Management System with specific attention to reporting of non-conformances and knowledge of ISO 17025 accreditation requirements

Health and Safety

ï‚· All staff have a duty to work in accordance with the Health & Safety at Work Act (1974), COSHH Regulations (1988) and other relevant policies and procedures
