Switchboard Operator/Receptionist Job Description

Overview

Document scanning and indexing. Answers all incoming phone lines using a multi-line switchboard and routes telephone calls or messages to appropriate staff. Professionally greets customers, vendors, and visitors and notifies personnel of each visitor’s arrival. Monitors the reception desk and maintains attractive, organized reception area for guests. Performs clerical and other administrative tasks as needed. Conveys a professional image and a pleasant disposition with all callers and visitors.

Hours are Tuesday – Saturday 1pm-9pm. Weekday off is negotiable. Part-time considered.

Essential Job Functions

Promptly answers incoming phone calls on switchboard, routes calls to appropriate staff, and responds to routine inquiries. Takes (and forwards) messages for company personnel as necessary.

Greets all visitors in a professional and friendly manner. Notifies personnel of visitors’ arrival.

Manages access to numerous secured doors. Ensures that visitors are checked in and issued company visitor identification per company security guidelines.

Responds respectfully to upset callers/customers and ensure that their call is routed to the appropriate person who can address or resolve the situation.

Receives, logs, and signs for all incoming packages and notifies appropriate company personnel when packages arrive.

Performs general clerical duties, such as typing, photocopying, binding, mailings, filing, and other administrative duties.

Reports technical problems with the phone system to the IT Department as needed.

Scanning and indexing as needed.

Required Education and Certifications

High School Diploma or equivalent customer service experience required.

Required Skills and Abilities

Must have excellent verbal skill and phone etiquette.

Must be punctual.

Must develop sufficient knowledge of organization’s business to properly direct callers and visitors.

Must have good knowledge of computer software applications including word processing, spreadsheets, and email (MSWord, Excel, Outlook, and Teams).

Must be able to respond written or verbally to general inquiries from management, team members, and vendors.

Must be able to produce and disseminate correspondence (i.e., emails, letters, etc.) as requested.
