Job Overview
We are seeking a detail-oriented and organized Administrative Coordinator to join our team. The ideal candidate will play a crucial role in ensuring the smooth operation of our office by providing administrative support and coordinating various tasks. This position requires excellent communication skills, strong computer literacy, and the ability to manage multiple responsibilities efficiently. Bilingual candidates are highly encouraged to apply.

Duties

Welcomes on-site visitors, determines nature of business, and announces visitors to appropriate personnel.
Answers incoming telephone calls, determines purpose of callers and forwards calls to appropriate personnel or department. Retrieves messages from voice mail and forwards them to appropriate personnel.
Coordinates onboarding activities for new hires and volunteers.
Provides executive level administrative support to the Executive team with high degree of initiative, confidentiality, and professional demeanor.
Coordinates IT service requests, maintenance service calls and work orders, shipments and deliveries, supplies, and copier services. Maintains fax machine, computers, copier, postage meter and assists users.
Prepare and edit correspondence, communications, presentations, and other documents for special projects.
Coordinate internal meetings as assigned including communication and correspondence, distribution of materials before and after the meeting and completion of support activities.
Managing schedules for conference and community spaces. Ensure conference rooms and other meeting spaces are prepared prior to use.
Receives, sorts and routes mail to proper personnel.
Maintains supply closet and places order for supplies.
Filing and organizing records, invoices, and other important documentation

Minimum Qualifications

High School Diploma/GED, technical training or degree preferred.
Minimum of 12 months office-related experience.
Good interpersonal skills and pleasant phone personality.
Planning and organizational skills. Ability to maintain realistic balance among multiple priorities.
Listening and communications skills
Ability to write professional quality correspondence.
Knowledge of Microsoft Office and Outlook
Must be creative and enjoy working within an environment that is mission-driven, result-driven and community oriented.
Ability to exercise good judgment in a variety of situations.
Ability to work independently on projects (from conception to completion
Able to work under pressure at critical times and deadlines.
Handle a wide variety of activities and confidential matters with discretion.
Bi-lingual (Spanish) preferred

Certification/Licenses:

Valid Pennsylvania Driver’s License

Pay: $18.00 – $25.00 per hour
