Office Manager / Executive Administrator

Job Summary:

We are seeking a highly organized, proactive, and detail-oriented Office Manager / Executive Administrator to ensure the smooth day-to-day operations of our office and provide high-level administrative support to our executive team. This is a key role that supports both the operational and cultural functions of our company. This role reports to the President.

Key Responsibilities

Office Management:

Maintain and organize office operations, procedures, manuals
Maintain file management system for personnel, vendors, customers, etc.
Aid in Processing Weekly Payroll
Manage office supplies inventory and place orders as needed
Oversee equipment and vehicle maintenance records and coordinate with vendors
Ensure a tidy and welcoming office environment

Administrative Support:

Schedule meetings, manage calendars, and coordinate travel arrangements
Assist with document preparation, data entry, file management, expense management
Handle incoming correspondence (email, phone, mail) log it into our CRM and direct it appropriately
Prepare reports, presentations, and other materials as needed

HR & Culture Support:

Help coordinate internal events, team-building activities, and celebrations
Assist with maintaining employee records and HR documentation
Act as a point of contact for employee questions related to office policies and resources

Qualifications:

Education: Bachelor’s degree preferred but not required.
Experience: Minimum of 4 years of experience in office administration
Knowledge: Strong understanding of historic preservation principles, construction methods, and materials.

Skills:

Proficient with the MS Office Suite
Experience working with Accounting Software (ie. Quickbooks)
Excellent analytical skills.
Strong attention to detail and accuracy.
Effective communication and interpersonal skills.
Strong organizational and time-management skills.

Physical Requirements:

Ability to lift packages and mail up to 10 pounds
Prolonged periods of sitting at a desk and working on a computer
