JOB DESCRIPTION
TITLE: Administrative Assistant for Assistant Superintendent for Instruction
FLSA: Non-Exempt
GENERAL SUMMARY
The position requires strong organizational, communication, and problem-solving skills, along with proficiency in financial software and accounting principles. Key responsibilities include preparing financial reports, processing invoices and expense reports, and providing support for budgeting and financial analysis. The position requires accounting background knowledge and ability to multi-task.
ESSENTIAL RESPONSIBILITIES and DUTIES
Administrative Support:
Managing executive calendars, scheduling appointments, and handling travel arrangements.
Answering phones, routing calls, and taking messages.
Preparing correspondence, presentations, and other documents.
Maintaining records, files, and databases.
Organizing and coordinating meetings and events.
Financial Assistance:
Assisting in the preparation of financial statements, reports, and budgets.
Processing invoices, expense reports, and other financial documents.
Reconciling credit card statements and financial data.
Supporting accounts payable and receivable processes.
Maintaining financial records and databases.
Assisting with payroll processing and tax-related tasks.
Other Duties:
Conducting research and compiling information for reports and presentations.
Assisting with audits and compliance activities.
Collaborating with team members to improve financial processes.
Developing and refining department forms, policies, and procedures.
Maintaining a professional and efficient work environment.
Performs other related duties as required.
JOB SPECIFICATIONS
Education and Experience:
Minimum Associate’s degree.
Bachelor’s degree in related field preferred with at least two (2) years of clerical experience.
Knowledge:
Knowledge of Business English, grammar, spelling, punctuation, mathematical computation. Working knowledge of departmental policies, procedures, and operations (Instructional Services). General knowledge of the principles of office management and of modern office procedures, systems and equipment such as computers, printers, copiers/scanners. Knowledge of the records and reports which must be prepared and maintained. Exceptional knowledge in Microsoft programs including Word and Excel. Knowledge of Google Drive, Forms, Sheets, Docs and other Google applications. Experience in office management with an accounting background preferred.

Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint) and other financial software.
Knowledge of accounting principles and financial procedures.
Attention to detail and accuracy in financial data.

Ability to prioritize tasks and work independently or as part of a team.
Ability to maintain confidentiality and discretion.
Experience with data entry and record-keeping.
Ability to maintain standards of accuracy in exercising duties.
Working Environment:
Conducts duties in a high-traffic office environment with no significant exposure to environmental conditions. Requires ability to work under a degree of stress related to duties that required constant attention and meeting deadlines. Physical demands are restricted to office work requiring lifting/moving of items up to 25 pounds. Job requires the operation of standard office equipment. Nature of job requires frequent use of computer and monitors for long durations.
Responsibility:
No supervisory responsibility.
