Administrative and project manager assistant Jobs in Hialeah, FL at I & D Innovation Design

Under minimal supervision, and in accordance with established policies and procedures, provides high quality secretarial, clerical and administrative support to the President and Board of Directors. Coordinates all meetings, including Board Meetings. Presents a positive image to members, staff, and the general public.

MAJOR DUTIES AND RESPONSIBILITIES:

Administrative and Clerical Support

Maintains appointment calendar for the President, assists with schedule, travel, and business arrangements. Maintains records of travel expenses.
Makes travel arrangements for all officials and staff, as necessary.
Receives and screens telephone calls and visitors for the President.
Composes and/or types correspondence, memos, forms and reports.
Sorts and distributes mail addressed to President and Board. Sends birthday cards to officials.
Maintains filing system for the President and keeps credit union records, bylaws, and policies. Ensures that all policies remain accurate and current on the network.
Continues education of credit union philosophy/principles and meets compliance training requirements to include Bank Secrecy annually.

Meeting Coordination
Coordinates arrangements for monthly Board Meeting, including schedule, location, communication with Board members, production of printed materials, and preparation of minutes. Coordinates all other Board functions.
Coordinates arrangements for staff meetings and training sessions. Coordinates conference attendance and registration.
Works with SVP Membership/Marketing to provide annual meeting program information.

Member/Community Relations
Represents the credit union to members, staff, directors, and the general public in a professional manner. Participates in a variety of community functions and civic activities as a representative of the Credit Union.
Assists the President in fulfilling any commitments to professional and community organizations and trade associations.
Handles members’ questions and complaints or directs calls to proper department. Cross-sells credit union products and services whenever possible.

Education: High School diploma or equivalent. Business school, college coursework or degree helpful.

Experience: Three to five years of progressively more responsible secretarial or administrative experience preferred.
