Job purpose
The mission of Hope of the Mission (HOTV) is to prevent, reduce, and eliminate poverty, hunger, and homelessness.
HOTV’s Bridge Housing provides a safe, low-barrier, and supportive 24-hour residence to persons experiencing homelessness. Clients receive shelter, food, and case management services. Working under the supervision of the Bridge Housing Program Manager, the Administrative Assistant fulfills the mission of the Hope of Valley Rescue Mission by successfully providing direct support to homeless participants in HOTV’s Bridge Housing Program.
Duties and responsibilities
Responsible for greeting and directing all individuals experiencing homelessness who access the Bridge Housing facility
The receptionist will answer the main phone line, take messages, and answer any questions participants may have regarding services
The receptionist will work with case management team to facilitate intakes and appointments
The receptionist will print Clarity cards for all new intakes.
The receptionist will scan/manually enter services for existing clients (daily bed service, etc.)
Responsible for basic data entry
Responsible for completing and submitting reports as needed
Responsible for ensuring that visitors sign in and out
Responsible for maintaining records and logs
Responsible for monitoring the surveillance system and reporting any issues to security and management in a timely manner
Responsible to call 911 in the event of an emergency
Responsible to complete incident reports as necessary
Responsible to complete and maintain current documents required for the client files
Other duties include
Interact with participants in a professional manner
Attend and participate in Team Meetings, Trainings, etc.
Responsible for maintaining thorough and accurate records in both written form (hard copies) and through the Homeless Management Information System (HMIS) is required
Submitting reports, documentation and connecting with outside agencies
Establish and/or maintain good rapport and working arrangements with co-workers, including the management team and other staff
Uphold all HTM and LAHSA Rules, Regulations, and Policies.
Other duties as assigned
Qualifications
Understand and support the mission statement of Hope of the Valley Rescue Mission
High school diploma or GED
1-2 years’ experience as an Admin. Assistant or Secretary
1 year working with the homeless or similar population preferred
Must possess solid proficiency of Microsoft Office Suite
Excellent verbal and written communication skills. Must possess basic grammar and spelling skills
Possess the necessary initiative, adaptability, and responsibility to work with minimum supervision
Excellent time management skills. Must possess the ability to meet deadlines and work with attention to detail
Must possess excellent problem-solving skills
Ability to interact with others professionally
Knowledge of Harm Reduction and trauma-informed principles
Experience working with a diverse population, with sensitivity to differences in culture, religion, sexual orientation, race, age, and physical and mental illness
Valid CPR/First Aid certification or ability to obtain within 30 days of hire
Must be TB-cleared prior to hiring
A criminal background check is required
Local travel may be required
A Valid CA driver’s license is required
Working conditions
Ability to walk, stand, bend, squat, climb, kneel, and twist on an intermittent or sometimes continuous basis.
Ability to grasp, push, pull objects such as files, file cabinet drawers, and reach overhead.
Ability to operate a computer, fax, and telephone.
Ability to lift to 25 lbs.
Some night and weekend hours are required.
