The Administrative Assistant is responsible for assisting in the day-to-day functioning of the DCMM/YAS programs in support of the Client Financial Coordinators, Housing Coordinators, and the managerial staff. A primary function of the position is processing and organizing social security applications and communications, as well as maintaining and updating various spreadsheets in the program’s shared drive. The role involves coordinating with managerial staff regarding program coverage and attendance, reviewing housing census material, and liaising with appropriate staff.

The position will represent ABH and its services professionally, adhering to ABH’s policies and promoting its leadership in behavioral healthcare.

DUTIES AND RESPONSIBILITIES:

Interact professionally and respectfully with providers and office staff to answer routine inquiries related to the DCMM contract and social security application process.

Coordinate with Social Security, DHMAS, and ABH staff, maintaining comprehensive knowledge of DCMM/YAS services, benefits, eligibility, referral options, and related forms.

Update the Rep-Payee spreadsheet to ensure all applicants are tracked and information is current.

Distribute mail to program-specific sites.

Assist DCMM/YAS staff as needed.

Review Trip Log information and communicate needs to staff prior to payroll processing.

Support managerial staff with scheduling and maintaining an active calendar.

Organize and maintain shared information from various data sources and spreadsheets.

Assist in audit preparation as needed.

Obtain census utilization data from DMHAS providers to support monthly expenditure reporting.

Build and maintain good working relationships with members, providers, facilities, and ABH personnel using interpersonal skills.

Maintain confidentiality of all client protected health information in compliance with HIPAA policies.

Demonstrate ethical behavior and cultural sensitivity in interactions with individuals from diverse backgrounds.

Perform other tasks as required to support business operations.

EDUCATION AND EXPERIENCE REQUIREMENTS:

Associate degree required or an equivalent combination of education, experience, and training that provides the necessary skills and knowledge.

1-3 years of relevant experience as an administrative assistant or similar role.

KNOWLEDGE/SKILLS/ABILITIES:

Willingness to develop in-depth knowledge of the DCMM/YAS programs and Social Security processes related to the contract.

Flexibility to respond quickly and positively to shifting demands.

Strong attention to detail and ability to manage multiple tasks and meet deadlines.

Proficiency in Microsoft Office (Word, Excel, Outlook).

Excellent written and verbal communication skills.

Ability to prioritize tasks and communicate effectively with staff and providers.
