Parkville Management is seeking a competent and reliable Front Desk Administrative Assistant to join our team. The ideal candidate will be fluent in both English and Spanish, possess exceptional interpersonal skills, and thrive in a fast-paced environment. As an Administrative Assistant, you will play a pivotal role in ensuring the smooth operation of our office while providing excellent customer service to our tenants and visitors.

ResponsibilitiesSchedule Management:Efficiently schedule meetings and appointments for management and staff members.

Visitor Support:Greet visitors warmly and provide general assistance as needed.

Communication:Answer incoming phone calls and email messages, and relay messages promptly and accurately.

Payment Processing:Receive and process tenants’ payments through our property management software system.

Vendor Coordination:Liaise with vendors to address office equipment issues and facilitate repairs.

Office Maintenance:Maintain the office’s condition and arrange for necessary repairs as needed.

Contract Negotiation:Assist in negotiating contracts and prices with office vendors and service providers.

Tenant Services:Ensure that all tenant service requests are recorded and communicated appropriately to the maintenance team.

Maintenance Coordination:Schedule and coordinate maintenance activities between the maintenance department, property management team, and tenants.

Policy Enforcement:Enforce occupancy policies and procedures to ensure a safe and harmonious environment for all occupants.

File Management:Ensure that current resident and commercial files are properly maintained and organized.

Administrative Support:Provide general administrative support to the office as required.

RequirementsFluent in both English and Spanish.

Dependable with a strong work ethic.

Excellent interpersonal and communication skills.

Adaptable and flexible, able to multitask and prioritize effectively.

Detail-oriented with strong organizational skills.

Proficient in computer programs, including Microsoft Office Suite and property management software (experience with Yardi or similar software preferred).

Ability to resolve conflicts efficiently and manage time effectively.
