Description:

This position reports to the Human Resources Director, however, also performs under the direction of the members of the Human Resources division. Responsible for providing administrative support to the Human Resources team. This position requires excellent clerical and public relations skills. Also requires strong communication skills, the exercise of independent judgment, and discretion handling confidential information.

Starting Pay:$22.72 – $26.08 per houradditional pay may be provided depending on experience

Schedule:4 x 10-hour shifts per week, Monday – Thursday, in office

Essential Duties and Responsibilities

Greets and directs the public and employees in a professional manner using knowledge of city policies, procedures, and operations.

Compose and type routine correspondence, copies correspondence, or other printed materials, prepare outgoing mail, including email and facsimiles.

Operate and maintain a knowledgeable use of office equipment such as computer terminal, copy machine, and printer.

Complete and provide accurate information for employment verification requests, unemployment claims and state insurance verifications.

Prepare documents and files for imaging. Scan documents and route them to the proper area in the computerized database management system. Ensure scanned documents are readable and imaged properly. Inspect the imaging hardware and software for general condition and operation.

Maintain HR databases and personnel files, including current and terminated employees, ensuring accuracy and confidentiality.

Examine employee files to answer inquiries and provide information to authorized persons. Keep all personnel information in strict confidence, adhering to HIPPA laws.

Establish and maintain lines of communication both internal (i.e. with superiors and peers) and external (i.e. City departments, outside agents and agencies) verbally and in writing.

Ensure all Human Resource forms are up to date and accurate, including posting to the City’s Intranet page.

May assist with the recruitment process by posting job openings, scheduling interviews, and coordinating candidate communication.

May assist with new employee onboarding, orientation, and training processes, including preparing orientation materials and coordinating training sessions.

Ensure accurate set up of new employees, rehires and terminations. In coordination with other staff members, process new employees and ensure all necessary pay and benefit paperwork is received.

Assist employees and answer inquiries related to employee benefits.

Daily runs to the mail room to pick up mail for our office and drop off outgoing mail.

Order office supplies when needed or as directed.

Other duties may be assigned.
