Administrative Assistant

The role:
Act as the first point of contact for guests, visitors, and vendors visiting Newcold.
Respond to incoming communications, while providing assistance in filtering and forwarding communications to proper individuals and departments.
General day to day clerical office duties.
Work in partnership with all departments to provide administrative support to the day to day operations.
Responsible for weekly customer invoicing and reconciliation.
Perform company sensitive and complex administrative duties ensuring accuracy involving Excel, Word and PowerPoint, including typing letters, creating/updating spreadsheets, filing, and compiling presentations.
Help organize small to large scale events and provide ongoing assistance during events.
Assist HR with employee engagement initiatives.
Create flyers, postcards, invitations, ad’s, etc.
Books travel accommodations as needed.
Create purchase orders as needed.
Develop and manage vendor relationships.
Research potential suppliers and items as requested, price checking and ordering when necessary.
Completing expense reports as needed.
Maintain and order necessary office equipment, supplies, janitorial products as needed.
Schedules and organizes appointments; takes minutes during departmental meetings.
Assist with preparation of human resource reports such as attendance, new hire, and turnover reports.
Performs other related duties as assigned.
What you bring to the table:
Can work under pressure and is happy to work either on their own or in collaboration with other individuals.
Has an excellent reception manner.
Experience with invoicing via electronic invoicing platforms
Interpersonal and cross-organizational communication skills, including the ability to work with all levels within the company.
Strong sense of urgency, attention to detail and accuracy, well organized and able to prioritize in a fast-paced, high-performing, and customer focused environment
Advanced knowledge of productivity tools, including Microsoft Office Suite
Highly dependable and trustworthy
Associates Degree preferred but not required or experience in related fields
Minimum of 2 years’ experience working in an office setting and performing clerical work and customer service.
Experience in Human resource, and/or financing preferred.
Able to sit in prolonged periods at a desk and working on a computer.
Able to lift up to 15 pounds at times.

We are looking for a motivated and enthusiastic Administrative Assistant to support our great HR, Finance, Safety and Operations teams. As the Administrative Assistant, you will work extensively with the management team to be a key contributor to the efficiency and flow of the operations. The ideal candidate must be organized, detail oriented, a willingness to grow the role, face new challenges, have a knack for problem solving and enjoy helping others. Previous exposure in Human Resource and /or Finance is a plus. This position will report to the Human Resource Manager.
