Overview
We are seeking a detail-oriented and proactive Administrative Assistant to work with the owner of an Internet business that sells Buddhist antique sculpture all over the world through auctions and an Internet website called theBuddhagallery.com .The business has been in continuous operation for more than 30 years. It has a primary staff of the owner and one administrative assistant. The assistant wears a wide variety of hats-from managing the office and the books to shipping and packing, to communicating with customers all over the world. The job also includes providing assistance to the owner With personal tasks, such as managing finances,
The job does has the following traditional tasis -they probably take less than half the productive time of the job.
Manage and organize calendars, scheduling appointments and meetings efficiently.
Provide exceptional customer support by addressing inquiries and resolving issues promptly.
Perform data entry tasks accurately to maintain up-to-date records.
Assist with proofreading documents to ensure clarity and correctness.
Handle clerical duties such as filing, copying, and scanning documents.
Operate phone systems effectively, demonstrating excellent phone etiquette when interacting with clients and colleagues.
Utilize QuickBooks for basic accounting tasks as needed.
Support personal assistant functions for executives or team members as required.
The skills required are very traditional ones that people look a good administrative assistant-
Skills
Strong organizational skills with the ability to prioritize tasks effectively.
Proficiency in data entry and clerical work with attention to detail.
Experience with phone systems and a professional demeanor in phone interactions.
Familiarity with QuickBooks is a plus but not mandatory.
Excellent proofreading skills to ensure high-quality documentation.
Ability to provide outstanding customer support in a fast-paced environment.
Effective calendar management skills to coordinate schedules seamlessly.
Once the core tasks are completed, the rest of the job will depend on the strengths and interests of the assistant, combined with the particular needs of the business and the owner at the time. For example, my current assistant was good at photography so I allowed him to put more time into photography and he went back and photographed all of my old items and made them look much better on the Internet. I probably paid him for a few hundred hours of photography that I would have not paid for if I had not hired him with that strength. It was a win-win because the timing was right in that digital camera, technology, and Internet band with had improved to the point where we could dramatically upgrade our offerings , His leaving his job now because he’s opening his own photography, studio and framing shop.
We put down that the job is 15 to 30 hours a week because so much of what the job looks like. Depends on the person we hire. If somebody is good at marketing and can help us find more places to advertise the business and we get more sales than we can keep somebody Working 40 hours a week. On the other hand if we hire someone who is very good at the basic administrative tasks, but is only wanting to do that, we can set the structure in that way and we can hire someone else to do the other tasks.
